SUMMARISING OFFICER/SECRETARY 37 hours

ADMINISTRATIVE & CLERICAL Band 3

SALARY SCALE £26,869 - £28,998 PER ANNUM

An exciting opportunity has arisen to join the team at Links Medical Centre as we are currently seeking a Summarising Officer/Secretary to provide secretarial, clerical and medical data  management support to our multi-disciplinary team. You will be a team-player who is conscientious, flexible, with excellent communication, interpersonal and time management skills, as well as a sense of humour. You should have outstanding secretarial and organisational skills, as well as plenty of initiative, enthusiasm, flexibility, be self-motivated and able to work efficiently in a fast-paced environment.

You will be expected to deal with the general public face to face and sometimes in challenging situations. A sympathetic approach to the needs of our patient group is essential alongside a professional manner when dealing with a wide variety of disciplines at all levels. You should have the ability to prioritize your work, with a good understanding of current computer systems being essential.

You must be prepared to work within the practice opening hours of 8:00am to 6:00pm.

Previous experience in Primary Care preferred but not essential if you possess the relevant skills and have an active interest in working in a healthcare environment.

Duties will include:

  • Analyse and interpret electronic discharge summaries, operation notes, discharge summaries and case-notes of non-complex, routine and complex cases, determining the correct diagnoses and surgical procedures relevant to the current period of patient care.
  • Allocate codes to all diagnoses and procedures relevant to current and previous episodes of patient care, using knowledge of the rules and conventions of READ coding and input data to appropriate computer system.
  • Create, produce and maintain searches and reports within the practice clinical system (Vision) to support proactive management and recall of patients on all registers within the practice population for example chronic disease, cancer, palliative care etc.
  • Provide dedicated administrative support for a specialist service hosted within the medical practice.
  • Answering phones; clinical filing and general admin
  • Provide secretarial and administrative support to the Primary Care Team, Practice Manager and Assistant Practice Manager.

To support you in your work you will have the opportunity to engage in regular one to one support with the Practice Manager or Assistant Practice Manager.

NHS Scotland is reducing their full-time working week from 37.5 to 37 hours per week from 1 April 2024 but with no change in pay.  This reduction will also be applied pro rata for part time staff.  This advert and any subsequent offer/contract of employment therefore reflects the new working hours.  However, as not all service areas will be able to adopt the 37 hour working week immediately from 1 April 2024, you may be required to work up to an additional 30 minutes per week for a temporary period for which you would be paid until the service you are working in changes rosters or working patterns to accommodate the new reduced working week.  If you have any questions or concerns, please contact the Recruiting Board.
