Full Job Description

Serco are currently recruiting for a Wellbeing and Absence Lead to join the existing team at Forth Valley Royal Hospital based in Larbert. This is an exciting new role to facilitate employees appropriate return to work from short term / long term absence through arranging timely and supportive call backs, maintaining effective contact during the absence period, and ensuring timely Occupational Health Management referrals are put forward by managers. Our Wellbeing and Absence Lead will also support the increase in attended days within the Departments and conduct call-backs with employees who have recorded an unplanned absence through absence manager within 24 hours of the absence being logged, achieving the key performance target. We are seeking someone to be pro-actively involved in absence case management and a liaison between the Line Managers and HR Shared Service Case Advisors whilst providing support and coaching to our Team Leaders in all aspects of absence management Main Accountabilities:

  • Arrange for Call Backs to be made within 24 hours of the absence being logged by the employee on a daily basis
  • Overdue Returns to be monitored daily and liaising with the employee and operational management team
  • Updating Absence Manager with absence type and reason, expected return dates and notes following contact with the employee, achieving consistent high compliance for absence type / reason
  • Monitoring volumes of Short-Term Sick (STS) cases and overdue actions at each Stage per contract
  • Monitoring volumes of Long-Term Sick (LTS) cases, duration and overdue actions per contract
  • Timely Occupational Health, Wellbeing Support and Risk Assessments identified and referred to contract support or HRBP, to support colleagues return to work for LTS cases
  • Requesting Fit Notes from employees for LTS absences, adding them on to the employee absence record
  • Supporting Team Leaders with conducting RTW Interviews with employees, notifying the manager of key information prior to the return
  • Provide weekly report on Call-back and Return to Work performance and quality review of RTW interviews/documentation
  • Supporting Team Leaders with conducting check-in calls with employees with absences longer than 7 calendar days, where the manager has not previously been in contact with the employee
  • Liaising with the manager, contract support or HR Business Partner when struggling to contact employees, for alternative contact details or to confirm if employee has been in touch with manager
  • Referring queries to either the relevant contract management team
  • Highlighting issues / areas of concern to the management team in relation to management of absences in line with process
  • Understanding and awareness of NHS Scotland Workforce Attendance Policy
  • Sending written communication to employees if unable to contact them and no contact made with manager by using template letters from NHS Scotland Workforce Attendance Policy
  • Work with sensitive data in line with data protection legislation.
  • What you'll need to do the role

  • Must be able to demonstrate experience in a Customer Service Environment
  • A customer-orientated approach, committed to achieving excellent levels of customer service
  • Knowledge & experience of records management and information legislation
  • Required to manage time effectively in order to complete heavy workload and meet deadlines
  • Good knowledge of working in an electronic environment- strong knowledge of MS Office, including Word, Excel, and Outlook
  • Numerate and literate, with GCSE`s in Maths and English grade A-C or equivalent.
  • Have excellent communication skills, with a high level of self-motivation & initiative
  • Strong telephone etiquette
  • Ability to problem solve and evaluate customers' needs
  • Ability to work under pressure, whilst maintaining accuracy of handling absence information
  • Experience of working to targets
  • Ability to review basic reporting data to identify key trends
  • Exceedingly well organised, flexible and someone who likes to work under challenge
  • Proactive, resourceful, and efficient, with a high level of professionalism and confidentiality
  • Excellent attention to detail, prioritisation, and organisational skills
  • Articulate, confident and fluent communicator with a high level of oral and written English
  • Desirable:
  • CIPD is desirable but not essential
  • Previous Experience in a HR Shared Service or phone-based environment is desirable but not essential
