Full Job Description

We're looking for an Administrative Assistant at 5 Seaward Place, Glasgow. She/ He will provide administrative support to Corporate Management and/or projects as required. Assist with a range of administrative activities, e.g., preparation of expense reports, holiday logs, action trackers, overtime forms, etc. Make travel and accommodation arrangements for assigned team members. She/ He will assist with the creation and preparation of documentation for internal and external clients, including correspondence, reports, presentations, etc. Set up and maintain group filing. Responsible for providing customer service and ensure that information provided is accurate, timely and in accordance with Worley policies and procedures. You'll be:

  • Managing Reception at our Glasgow Office 5 days a week with responsibility for controlling access passes, greeting visitors, managing deliveries and courier uplifts, etc. (Note that flexible working will enable you to finish at lunch-time on Fridays)
  • Providing support to Facilities Management, e.g. assisting with managing emergency procedures; ordering supplies such as stationery, PPE, coffee, milk, etc.; assisting with management of maintenance contractors; managing meeting rooms and associated equipment bookings; etc.
  • Providing support to both corporate and project teams, such as making travel arrangements, formatting documents, presentations and correspondence, along with other general administration support such as preparing expense reports, holiday logs, action trackers, overtime forms, etc

    Previous experience in both Reception and Administration roles
  • Proficient in the use of all MS Office Suite packages
  • Excellent Communication skills both written and verbal, with the ability to communicate easily at all levels
  • Time management skills, confident working under pressure, along with a proactive approach to work, and the ability to work flexibly and on own initiative
  • Proficiency with office productivity tools and an aptitude for learning new software and systems
