Key responsibilities
- Prepare and process invoices, ensuring accuracy and timely submission.
- Reconciling payment received against invoices, to ensure accounts receivable are up to date.
- Maintain accurate records of stock levels and assist in the ordering and procurement of supplies and inventory.
- Coordinate the shipping and dispatch of goods, ensuring timely delivery and proper documentation.
- Handle incoming calls, emails, and other communications – pertaining to customers placing orders.
- Ordering, processing and taking payments for a new product line.
- Maintain filing systems, both electronic and physical, ensuring documents are organised and accessible.
- General administrative support as needed.
- Ensure compliance with company policies and procedures related to invoicing and inventory management.
What we are looking for
- An applicant based in Scotland
- With the ability to work from our office (3/4 days per week – therefore a driving license would be required)
- A can do and self-motivated attitude, you must be able to use your own initiative
- A degree is preferable (though not essential with the right experience)
- Experience working in agriculture
- Strong organisational skills and attention to detail
- Proven experience as an administrative assistant or in a similar role, with a focus on invoicing and inventory management.
- Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook) and accounting or inventory management software.
- Strong communication skills, both written and verbal.
- Excellent organisational and time-management skills.
- Ability to work independently and as part of a team.
- Attention to detail and problem-solving skills are essential.
