Full Job Description

Utopian Professional Recruitment are delighted to be working with our international client looking to expand their team with a German Speaking Order Administrator.

This is a great opportunity for someone who can work on initiative and is quick to pick up different systems. This role will be establishing the team at the Glasgow site, so there are excellent career progression opportunities to progress into managing the Glasgow team.


Your key responsibilities will include:

  • Interact with customers, company sales, and service representatives to manage various pre-sales and post-sales order functions.
  • Process and manage orders specifically for the EMEA region, ensuring accuracy and timeliness.
  • Audit and reconcile orders against customer contracts and purchase orders to ensure compliance.
  • Book orders and change orders in alignment with global policies
  • Review sales order packets to confirm completeness and accuracy before processing.
  • Enter and book orders, including service and rental contracts, in the global Tracking system.
  • Ensure all orders are booked on time and meet corporate deadlines.
  • Collaborate mutiple departments to ensure all terms and conditions are met.
  • Address and resolve issues related to bookings and customer.
  • Provide timely updates on order status and tracking information to both internal and external customers.
  • Manage and resolve backlog issues.
  • Offer support during month-end and quarter-end periods to help achieve corporate objectives.
  • Process post-sale service orders and requests for replacements and depot repair orders using the CRM system.
  • Coordinate internal product purchases and manage transactions to fulfill in-direct sales and services.
  • Communicate and coordinate shipment and delivery details with freight carriers.

To be considered for this opportunity, our client does require the following background / experience:

  • Native or Fluent German speaking 
  • Native or Fluent German writing skills
  • An excellent multitasker
  • Experience working with multiple systems
  • Ability to work independently
  • Strong attention to detail
  • Excellent admin focused IT skills
