Full Job Description

An opportunity has arisen for an Administrator to join our busy reception desk in Aberdeen on a temporary basis for a minimum period of one month. The candidate must be available for an immediate start. The role is full time working 37.5 hours per week. You will be responsible for providing administrative support to Facilities, Base and Reception desk. Main duties and responsibilities will include;

  • Provide a warm and professional welcome to internal and external visitors to the EnerMech building ensuring an excellent first point of contact for everyone, projecting EnerMech's positive image.
  • Open all incoming mail and prepare for distribution.
  • Project an excellent telephone manner and manage a busy switchboard with smooth efficient transferring of incoming calls.
  • Provide visitor badges to relevant people and maintain a log for these for security and Health and Safety regulations.
  • Booking taxis
  • Franking mail and taking to Post Office when necessary
  • Processing daily delivery notes onto the system effectively and efficiently.
  • Perform other duties deemed appropriate by line manager.
  • Responsible for providing administrative support for Base and Facilities.
  • Responsible for raising purchase quotes/purchase orders for Base and Facilities.
  • Responsible for receipting and ensuring goods are goods received noted.
  • Assisting with maintaining the Facilities Maintenance Helpdesk, assigning and closing tickets, highlight due dates.
  • Assisting with Document Control when required.

    You will be educated to Standard Grade level and have previous experience in a similar role/industry. You will be proactive and have the ability to work either on your own or as part of a team. An administrative qualification would be advantageous. You will have a friendly and approachable manner, with excellent communication and organisational skills. You will also have a good working knowledge of all Microsoft packages.
