Full Job Description

As our Assistant Buyer, you will support the purchasing department in sourcing and acquiring high-quality products at competitive prices. This role involves coordinating with suppliers, managing inventory levels, and assisting in the negotiation of contracts to ensure the best value for the company. If you are passionate about the food industry, have strong organisational skills, and thrives in a fast-paced environment then this could be the role for you. Day-to-day tasks will include:

  • Supplier Management: Assist in sourcing, evaluating, and developing relationships with new and existing suppliers to ensure consistent quality and timely delivery of products.
  • Assess the Raw Material, Packaging and Factored products demand and place the appropriate Purchase Orders. Expediting when necessary to ensure timely delivery to ensure the Production Plan is achieved.
  • Liaise with the Suppliers and nominated Hauliers to ensure the paperwork is completed to support Customs Clearance of goods.
  • Report the Supplier performance into the SPER function by raising a Business Activity or a Non-Conformance Report as appropriate.
  • Ensure Suppliers are made aware of any operational or demand issues that may affect or impact their Supply to us. Enlisting the support of the Purchasing Department when required.
  • Monitor short shelf life Raw Materials used in RTE products and action as appropriate.
  • Liaise with Stores and Operations Team Leaders with regards any internal stock movements that are required to ensure accurate system data.
  • Negotiate prices, terms and conditions & agree contract stipulations with suppliers in areas identified by the Head of Purchasing
  • Approve/Sign off Invoices for payment in areas identified by the Head of Purchasing in our ERP system.
  • Ensure that Health & Safety requirements are met in your area of responsibility in accordance with company Health & Safety policy, procedures, practices and legislation.
  • Maintain and develop supplier relationships in line with the Company's strategies ensuring visibility of supplier management, supplier performance and regular business reviews and assigned actions.
  • Assist in establishing and maintaining optimum buying terms on Raw Materials and Packaging, Fuels & Consumables.
  • Assist with managing profit improvement projects in conjunction with Category Buyer and Head of Purchasing.
  • Liaise with Product Teams on sourcing samples / pricing / specifications and agreeing potential suppliers.
  • Participate in Category Days to assist the Head of Purchasing in identifying strategic suppliers and also foster engagement with the other functions in the business.
  • Positively promote and represent the Purchasing Department in all cross functional activities.
  • Responsible for all Portal Purchases.
  • Notify suppliers of any delivery discrepancies and update supplier records accordingly.
  • On receipt of authorized requisitions create appropriate Purchase Order (s) and process with suppliers, as required.
  • In conjunction with Category Buyer and Head of Purchasing, carry out administrative duties, obtain pricing, samples and prepare costing sheets for potential projects.

  • Education: Bachelor's degree in Supply Chain Management, Business, or a related field preferred.
  • MCIPS or working to gain qualification.
  • Excellent communication and negotiation abilities.
  • Ability to work independently and as part of a team.
  • Proficiency in Microsoft Office (Excel, Word) and ERP systems (SAP, Oracle, etc.)
  • Familiarity with food safety regulations and standards.
  • Willingness to learn and develop within the Purchasing Department.
