The Post

Estates & Campus Services, Property Management Division is seeking to fill the position of Assistant Facilities Supervisor. This role sits within the Operations and Maintenance team who have responsibility for the maintenance and upkeep of the University Estate, including building fabric, electrical and mechanical building services, hard landscaping such as roads and footpaths and portering/facilities services.

The Assistant Facilities Supervisor will play a key role within the Operations and Maintenance team, working in a fast paced and dynamic environment that goes with a broad customer base, round the year business and a large estate. The team’s remit is broad and varied undertaking planned preventative and reactive work across the University estate on and off campus. This includes attending to over 20,000 requests for work from students and staff each year.

Reporting to the Facilities Supervisor, the role holder will be responsible for assisting in the day-to-day supervision of a team of Facilities Operatives undertaking basic repairs, legislative compliance activities and Portering services across the University Estate. The Assistant Facilities Supervisor is responsible for delivering a responsive and efficient service to all customers.

External term and service contractors as required supplement the in-house maintenance team. Contractors are also employed to undertake specific pieces of large-scale maintenance work and projects.

The following duties are not intended to be exhaustive but highlight a number of tasks and accountabilities which the post holder will be expected to fulfil. The post holder will be expected to support and provide daily supervision to the in-house team undertaking legislative compliance works, Portering activities and small scale repairs and maintenance works.

Description of Duties

  • Assist in the daily supervision and allocation of works to the facilities team
  • Working alongside the team undertaking a wide variety of duties and tasks on a daily basis
  • Ensuring tasks are allocated across the available resources, completed within predetermined response times and that the customer is kept appraised of the progress of the work request
  • Ensuring the delivery of an efficient and effective first line response to emergencies
  • Promoting positive working practices and culture that ensure health and safety is given the highest priority
  • Carrying out regular Health and Safety inspections and provide training through toolbox talks with staff
  • Undertaking regular audits of work undertaken by the in-house team to ensure appropriate standards are being maintained
  • Ensuring workshops, work areas and plant areas are kept clean, tidy and free from hazards at all times
  • Identifying and immediately reporting any issues relating to Health & Safety or security initiating any corrective measures as necessary
  • Identifying potential areas within technical sphere of expertise where energy saving measures and improvements can be implemented
  • Ensuring that all documentation i.e. risk assessments, time sheets and repair advice slips are completed accurately and correctly, on time and that all works undertaken comply with risk assessments, safety legislation, University safety policies and procedures and any other applicable regulations
  • Assisting in the site consolidation awareness training for new members of staff including agency or contractors/consultants and sharing of local knowledge
  • Working within and contributing to the development of standard operating procedures within the Property Management Division
  • Providing cover as necessary for the Facilities supervisor in their absence to ensure overall continuity and quality of service
  • Assist the team in undertaking key legislative compliance duties such as fire alarm testing, RCD testing, legionella control duties, portering, furniture building etc. and any other duties required to deliver an effective and efficient service

Essential Criteria

  • Ability to lead and supervise a team
  • Good general knowledge of maintenance activities
  • Basic ICT skills including Word, Excel and Outlook
  • Good organisational skills, precision and attention to detail and the ability to prioritise multiple tasks and meet deadlines
  • Be strongly focussed on customer service delivery always aiming to exceed expectations and deliver a positive customer experience
  • The ability to interact with customers in a courteous and efficient manner
  • Good written skills including the ability to produce written reports
  • Strong problem solving and analytical skills
  • Excellent verbal and written communication skills
  • Good knowledge and understanding of Health and Safety
  • Ability to undertake risk assessments, toolbox talks and contribute positively to team H&S meetings
  • Ability to work well as part of a team and on own initiative
  • Contribute in a positive manner to the overall team and its development
  • Participate in any training as required to further develop skills and knowledge
  • Hold a current driving licence

Desirable Criteria

  • Ability to use/ learn CAFM packages such as windows and the Archibus maintenance management system
  • Knowledge of/ ability to develop knowledge of legislative compliance
