Full Job Description
We are seeking a highly motivated and skilled Bid Coordinator to join our dynamic team at MacTaggart Scott, a leading engineering firm in the UK. The successful candidate will be responsible for managing the end-to-end proposal process for a variety of engineering projects. This role requires strong leadership, excellent communication and influencing and a solid understanding of both the technical and commercial aspects of the engineering industry. This role is based within the Commercial Department, reporting directly to the Head of Bids & Proposals. The Bid Coordinator will work in conjunction with other departments as required. The role may involve both UK and International travel. Responsibilities
- Proposal Management: Lead the preparation and submission of high-quality, compliant proposals and tenders for engineering projects, ensuring deadlines are met and that the proposals align with customer requirements.
- Cross-Functional Collaboration: Use strong influencing skills to work closely with technical, commercial, quality and operations teams to gather necessary information for proposal development, ensuring the technical and financial details are accurate and aligned.
- Client Engagement: Act as the primary point of contact for all proposal-related queries from both internal stakeholders and clients. Assist in building and maintaining client relationships through proactive communication and follow-ups.
- Proposal Strategy & Writing: Develop a winning strategy with the Business Development team for each proposal, including key differentiators, value propositions, and compliance with client specifications.
- Write and edit proposal content, ensuring clarity, quality, and consistency.
- Ownership of Cost Estimate: Collaborate with departmental estimating teams to ensure the proposal includes competitive pricing, accurate cost breakdowns, and appropriate margin targets.
- Compliance and Quality Assurance: Ensure proposals comply with internal governance, legal, contractual, and company standards. Review proposals for quality and consistency in messaging, formatting, and presentation. Present proposal summary to Senior Management teams through gated review process.
- Market Analysis: Liaise with the Business Development team to monitor industry trends, competitors, and customer needs to continuously improve proposal quality and business development efforts.
- Reporting: Provide regular updates to senior management on the status of proposals, including win/loss analysis and lessons learned for future improvements. Whilst proven experience in proposal management within the technical sector is desirable, this role will also appeal to highly motivated individuals with strong numerical skills and a technical or commercial background looking to develop a career in Bids and Proposals. It is expected that the role will evolve as departmental and business practices are updated to reflect the changing business strategies in a dynamic commercial environment. The post holder will be flexible in their approach and behaviours required of the role.
- Leadership and influencing skills to effectively guide and persuade internal teams and stakeholders to ensure proposal success.
- Strong written and verbal communication skills with the ability to tailor content to various audiences.
- Highly numerate with good MS Excel skills.
- Attention to detail and a commitment to producing high-quality, accurate proposals.
- Strong organisational skills with the ability to prioritise tasks effectively and ability to work on their own initiative to deliver to deadlines.
- Proficiency in Microsoft Office Suite (Word, PowerPoint). Desireable
- Experience of using an Enterprise Resource Planning (ERP) system; company specific training will be provided

- Knowledge of MacTaggart Scott products or similar engineering/production environments
