Utopian Professional Recruitment Ltd are delighted to be working with an established company based in Edinburgh City Centre who are looking to recruit a professional and dedicated Business / Operations Manager on a full time, permanent basis.


This role will report to the Managing Partner and you will be responsible for the smooth running of operations including the opportunity to make tangible impact on the success of their business whilst working with key stakeholders including partners, colleagues, suppliers and partners.


This role covers a wide range of activities from managing extensive events programme, to ensuring the smooth running of the operations including technology and CRM, financial administration, oversight of facilities and provide EA support. This role will suit a commercial individual who thrives on variety and being part of an enthusiastic team.


Key Responsibilities will include:

  • Plan, co-ordinate and execute an extensive range of annual client events over the year
  • Liaising with the commercial team and Partners to ensure that the events meet the needs of the business, measure ROI and deliver on budget
  • Sourcing new venues and cost negotiation
  • Send invites, confirmations and co-ordinate guest list
  • Annual events audit (record all events spend in order to create an events budget) and feedback
  • Meeting with team, create events calendar for the year
  • Overall accountability for finance submissions to outsourced accountant and work closely with business coordinator on this
  • Monthly supplier payments, sales invoices, month end, HMRC intermediary report, bank reconciliations, recharges
  • Provide EA support to Partners
  • Manage, support and develop the Business Co-Ordinator who reports to this role
  • Overall responsibly for facilities management and adherence to lease conditions in liaison with Partner responsible
  • Working closely with the Business Co-Ordinator on the various tasks.
  • Interim onboarding including Pre-Employment Screening (PES) and contracts, timesheets, payments, invoicing, margin, pay report
  • Develop content schedule, post content on LinkedIn and website, content analysis
  • Consistent monitoring and management of website, including video editing
  • Responsible for tech, liaising with team and external IT supplier
  • Sharing best practice with team to improve efficiency. CRM administration.
  • Contribute to wider commercial initiatives which include charities, events or improved ways of working
  • Manage internal communication and prepare information for quarterly team meetings and ad hoc team meetings

To be considered, we are looking for:

  • Ideally you will have worked in a professional services environment and are comfortable working in a small, agile business
  • Previous line management would be advantageous
  • Background managing a variety of tasks including events, operations, facilities, ensuring IT is running smoothly and some EA/PA tasks
  • You will be highly IT literate and comfortable with the common Microsoft programmes
  • Previous finance administration experience is useful but not essential
  • You will have strong operational skills and a keen interest to initiate and drive operational excellence
  • Naturally positive and enthusiastic
  • Excellent attention to detail in a fast-paced environment
  • A natural willingness to learn, approach a wide variety of tasks methodically, asking questions and providing new ideas and solutions with an openness to change and improvement
  • Naturally strive to constantly improve a wide range of processes
  • Confident communication style, remaining calm under pressure and exposure to working closely with key individuals and stakeholders, liaising with colleagues and suppliers
  • A natural ability for using emotion and logic to communicate a persuasive vision and connect with people
  • People-orientated, with demonstrable experience of collaboration and teamwork
  • Prioritisation: comfortable to be able to assess a range of activities with competing priorities and be able to complete tasks in relevant timescales
  • Determination: striving for excellence and acting with resilience to overcome challenges that arise.
