Full Job Description
As a Centre Administrator at Gyle Shopping Centre, you will support the Centre Manager by handling office administration, coordinating promotional activities, managing seasonal events, and overseeing finances and supplier accounts., Office Administration:
- Answer phone calls, transfer calls, and take messages.
- Type letters from drafts; shorthand and audio typing may occasionally be required.
- Prepare and type purchase orders.
- Manage filing systems and use office equipment such as a guillotine and laminator.
- Make coffee/tea and purchase supplies as needed.
- Photocopy and send faxes for the manager and staff.
- Ensure stationery supplies are maintained.
- Assist with daily administrative tasks and support centre management.
- Use computer software including Word, Excel, and potentially publishing software.
- Handle staff, public, tenant, supplier, and statutory authority matters.
- Maintain and account for petty cash transactions.
- Generate and process sales and purchase invoices.
- Keep accurate records and filing systems.
- Help produce formal reports related to Gyle Shopping Centre.
- Attend and record minutes for management and tenant association meetings.
- Manage enquiries regarding promotional activities and negotiate terms with companies.
- Ensure all promotional arrangements are formally documented and approved by the Centre or Operations Manager.
- Verify that all agreed terms with promoters are followed and facilities are adequately provided.
- Inform relevant parties, including local authorities and police if necessary.
- Report on promotional income and expenditure to centre management.
- Monitor and evaluate the effectiveness of promotional activities in the centre.
Strong organisational and administrative skills. - Proficiency in Microsoft Word and Excel; experience with publishing software is a plus.
- Excellent communication skills, both written and verbal.
- Ability to maintain confidentiality and handle sensitive matters with discretion.
- Experience in a similar role or environment is advantageous.
- Knowledge of Health and Safety regulations is preferred.
