Full Job Description

  • Plan, control, and review client work to ensure that jobs are completed as efficiently and effectively as possible by allocating resources at an appropriate level and briefing/supporting the team from planning through to completion.

  • As part of the process, brief the administration team and liaise with paraplanners and advisers on the administration functions that reduce the firm's risk to an acceptable level and that this is clearly communicated.

  • Key contact for Intelliflo and other software providers used in the firm.

  • Review all work received within agreed timescales, ensuring that any issues arising are referred to HLFP staff for completion before any outstanding key issues are drawn to the attention of the Directors.

  • Ensure that files are complete with recorded instructions and paperwork and that the advice process has been finalised by the submission of new business and fees.

  • Engage with clients, advisory team, and providers on technical needs, responding to enquiries within agreed deadlines by phone/email.

  • Liaison with other departments to ensure successful completion of jobs within agreed timescales. For example external paraplanners, Tax Team.

  • Monitor work in progress on all tasks, communicating any potential problems, fee opportunities and NTUs to the Directors on a timely basis.

  • Overseeing the management of the fee income process.

  • Support Directors and advisers at client and third-party meetings.

  • Deal with day-to-day admin team staffing/office responsibilities which may include holidays, training, quality of work, motivation, and monitoring hours.

  • Ensure, as far as possible, that administration staff are allocated a variety of jobs to provide a broad range of training to maximise their experience.

  • Support Directors in the drafting of MI reports and attendance at meetings as required.

  • Promote a culture of quality.

  • Take responsibility for ensuring own CPD is up to date and at a level that is appropriate for role and sector/other specialisms. Overview of ongoing training for the admin team

  • Project a positive image of Henderson Loggie Financial Planning both internally and externally.

    Previous experience in a financial planning environment is essential, with the ability to motivate, delegate effectively, develop teams and demonstrate strong leadership in client management.

  • High level of technical knowledge in regulated Financial Planning, along with a good understanding of compliance issues

  • Good personal organisation skills and time management skills, capable of managing upward and working effectively within tight deadlines.

  • Good numerical and data analysis skills.

  • Attention to detail and commitment to high quality and high level of accuracy. Able to take ownership and use initiative to resolve problems.

  • Excellent communication skills, both verbal and written, including the ability to present recommendations clearly and logically, and proficiency in research and report writing.

  • Excellent interpersonal and client servicing skills; adept at building effective relationships with clients and colleagues across various sectors. Client-focused, strategically aware, and commercially minded. Client-driven and strategically and commercially aware.

  • A strong, motivated team player who collaborates effectively with colleagues and clients, displaying enthusiasm and flexibility in their approach to work.

  • Demonstrates a proactive approach to CPD.
