Full Job Description

The Collabs Admin Executive at Oh Polly will play a critical role in streamlining the administrative and operational tasks for the Creative and Collaborations teams. This position is focused on reducing the administrative burden on the team by managing invoices, tracking content deliverables, maintaining Airtable databases, and assisting with the financial and performance analysis of collaborations. The role is designed to give team members more time to focus on creative work, campaign strategy, and higher-level decision-making by efficiently handling the administrative workload., Administrative Management Invoice Management:

  • Log, organise and track invoices related to collaborations, campaigns and other creative projects.
  • Liaise with the finance department to ensure timely payment and resolve any invoice discrepancies.
  • Airtable & Data Management:
  • Keep the Airtable database updated with content deliverables, collaboration details, and project timelines.
  • Regularly update and maintain records of influencer collaborations, contract terms and content posting schedules.
  • Content Deliverables & Collaboration:
  • Track and chase content deadlines from influencers and collaborators to ensure they meet agreed-upon timelines.
  • Ensure all content is reviewed and properly logged once delivered.
  • Monitor content schedules to ensure seamless campaign rollouts and avoid delays.
  • Reporting & Analysis ROAS Tracking:
  • Review and analyse the return on ad spend (ROAS) for influencer and talent collaborations.
  • Assist in the monthly and quarterly reporting on collaboration performance, helping to optimize the strategy for future partnerships.
  • Performance Insights:
  • Work with the marketing and finance teams to evaluate the impact of collaborations by reviewing engagement metrics, sales conversions, and overall performance.
  • Identify key trends in influencer collaborations to refine the overall strategy and help allocate resources effectively.
  • Process Improvement Workflow Optimisation:
  • Proactively suggest and implement improvements to the current processes to improve efficiency, such as automated tools for invoicing or reporting.
  • Assist in creating smoother workflows between the creative, collaborations, and finance teams, reducing bottlenecks and unnecessary delays.
  • Team Support Cross-Team Collaboration:
  • Serve as the primary point of contact between the creative, influencer collaborations, and finance teams, ensuring seamless communication.
  • Assist team members with administrative support as needed to ensure end-to-end processes are more efficient and streamlined.

    Experience: 1-2 years of experience in an administrative or support role, ideally within a fast-paced creative or fashion environment.
  • Previous experience with Airtable or similar project management tools is highly desirable.
  • Organisational skills: Exceptional organizational and time-management skills, with the ability to handle multiple tasks simultaneously.
  • Strong attention to detail, ensuring accuracy in invoice tracking, data management, and reporting.
  • Technical Proficiency: Proficient in Microsoft Excel and familiar with basic reporting and data analysis.
  • Knowledge of digital collaboration tools like Airtable, Google Workspace, or Monday.com.
  • Communications Skills: Excellent written and verbal communication skills to liaise with internal teams and external collaborators.
