Full Job Description

  • Update the Asset Solutions and project subcontracts plan

  • Assist in the development of subcontract strategy papers

  • Assist in the preparation of Invitation to Tender (ITT) packages, including instructions to bidders, proposal form, subcontract agreement, terms and conditions, special terms and conditions, index and commercial exhibits as appropriate

  • Assist in the receipt and review all other parts of the bid package to ensure continuity and completeness, including liaison with sponsor departments

  • Assist in the management of subcontract ITT packages to approved tenderers and manage the clarification process (including closing out of contractual and commercial qualifications) expedite responses, assist in the preparation formal commercial evaluation of bids and recommend awards

  • Assist in the preparation and issue to the selected contractors approved contracts and contract amendments

  • Assist in maintaining and logging all subcontract change authorisations and amendments

  • Raise subcontract call-offs for the procurement of services, where relevant

  • Assist in the preparation of subcontract approval paperwork (subcontract tender board approval paperwork) in support of contract awards

  • Work in line with Petrofac processes and procedures and ensure compliance in all activities with Petrofac functional support and guidance: legal, insurance, tax and compliance.

  • Gain a working understanding of company procedures and processes and follow these principles in all aspects of the role

  • Ensure strict confidentiality of all allocated subcontracts and ITT processes

    Knowledge of subcontracts administration and management

  • Work with a "one team" ethic and support delivery-focused solutions within an exciting project environment

  • Ability to work on own initiative and have good communication and presentation skills

  • Excellent organisational and problem-solving skills

  • Fluency in MS Office and Oracle

  • Experience in an administrative or similar role

  • Oil and gas sector experience
