Full Job Description

We require a secretary to undertake secretarial and administrative duties supporting the wider Directorate Management Team.

You will be based within the Directorate Office at Victoria Hospital, Kirkcaldy. 

We are looking for an experienced secretary who has worked to senior managers within a large organisation (preferably within the NHS).

A working knowledge of Microsoft 365 is essential along with advanced keyboard skills.  Minute taking is a part of this role therefore shorthand skills would be advantageous but not essential.  

You must have the ability to work as part of a team as well as working independently and to work under pressure as this is a challenging role. There may be at times a requirement to work flexibly and be able to adapt readily to change.  You must have good organisational skills.

A level of English language competency and excellent communication skills (both verbal & written) are necessary to perform the role safely and effectively.

NHS Scotland is reducing their full-time working week from 37.5 to 37 hours per week from 1 April 2024 but with no change in pay.  This reduction will also be applied pro rata for part time staff.  Your offer/contract of employment will therefore reflect the new working hours.  However, as not all service areas will be able to adopt the 37 hour working week immediately from 1 April 2024, you may be required to work up to an additional 30 minutes per week for a temporary period for which you would be paid until the service you are working in changes rosters or working patterns to accommodate the new reduced working week.  If you have any questions or concerns, please contact your Hiring Manager.
