Full Job Description

We have a position for a Engineering FM Shared Services (ESS) Manager to join our Team.

Reporting into the Head of Property and Facilities Management, this role will lead the Engineering / Facilities Management Shared Services team and ensure services are delivered effectively and efficiently.

The Engineering and FM team will cover all areas of the business including Energy Services, Roadside Services, Lubricants and Renewables.

  • Control and management of database system.

  • First line point of contact for all faults (c 9000 pa).

  • Classification of fault priority.

  • Escalation of issue(s).

  • Out of business hours working.

  • Fault and Accrual Reporting.

  • Participation in internal and external audit processes.

  • Oversee day to day administrative functions.

  • Creating and issuing tender packs and collating returned tender from preferred suppliers.

    We are seeking a highly organized and proactive individual to establish and lead Engineering / FM helpdesk and general office services.


  • The ideal candidate will possess exceptional communication skills and have experience in managing contractors, workflows, programs and budgets to ensure safe and continuous operations.

    You will be programming and prioritizing multi-disciplinary activities for R&M (Repairs and Maintenance) and PPM (Planned Preventative Maintenance) programs across UK wide network, whilst updating systems, managing payment processes and associated reporting., The Ideal candidate for this role will be degree educated, however, other candidates with relevant experience of multi-site fault and maintenance environments will be considered.
  • Experience of managing shared services, contractors, workflows, programs and budgets to ensure safe and continuous operations in high hazard environment

  • Documented experience of managing multi- disciplinary contracts and services across multiple regions / sites


  • Understanding of best practice administration for R&M and PPM programs.
  • Expert use of general office software packages (Microsoft Office Applications, CODAS).

  • Strong technical skill to manage quality of data entry and retrieval.

  • Decision-making, ability to make well informed decisions about site faults (depots and forecourts), priorities and procedures.

  • Conflict resolution, if and when any forms of conflict arise find innovative solutions to ensure conflict is resolved appropriately.

  • Multitasking, having the ability to manage several tasks at any one time.

  • Detail-orientated, have a keen eye for accurate and correct detail.

  • Change management, have the ability for continuous, meaningful, and successful change within a fast-paced multi-site environment.

  • Taking inventories for a range of activities.

  • Have the ability to learn on the job and adapt to changes.

  • Friendly and professional demeanor with a positive mindset.

  • Excellent verbal and written communications skills.
