One of our exciting clients based in the Further Education sector are seeking a highly professional and experienced Executive Assistant to provide comprehensive support to our clients Executive team. This role is pivotal in facilitating effective decision-making and managing sensitive information with the utmost confidentiality. The successful candidate will also lead the coordination and management of Freedom of Information requests and deputise for the Executive Development Manager when required.

Day to Day of the role:

  • Provide high-quality, professional, and confidential support to the Executive team.
  • Advise on national protocols, policies, and guidance.
  • Prepare briefing papers and reports on parliamentary committees and government policies.
  • Support the Executive team in delivering objectives and forward planning.
  • Serve as secretariat for strategic meetings and produce draft committee papers.
  • Manage internal and external correspondence and undertake research and analysis.
  • Coordinate all Freedom of Information (FOI) responses and prepare quarterly FOI reports.
  • Lead on projects directed by Executive members, potentially involving senior external stakeholders.
  • Communicate and manage confidential information in line with GDPR and college policies.
  • Facilitate arrangements for workshops and meetings, ensuring value for money.
  • Act as an ambassador for the College, upholding its values and behaviours.

Required Skills & Qualifications:

  • Educated to SCQF Level 6 with advanced knowledge of Microsoft Office, particularly Word and Excel.
  • Extensive experience in an Executive Assistant, PA, or administrative support role at a senior level.
  • Ability to work independently in a complex environment.
  • Desirable: SCQF Level 7+ in a business or administration-related subject and knowledge of the FE sector or public sector organisations.

Abilities/Skills:

  • Proficient executive assistant skills, including fast and accurate typing, audio typing, and minute-taking.
  • Tact, discretion, and a strong understanding of confidentiality issues.
  • Flexibility and adaptability to change.
  • Excellent communication skills to engage with various stakeholders.
  • Exceptional planning, organisational, and time management skills.
