Role: Executive Support and Office Manager 

Salary: £30,000 – £35,000 per annum 

Reporting to: Managing Partner 

 

The role  

  • Manage the daily diary of the founding partner, schedule meetings, ensuring optimal use of their time and prioritising tasks appropriately 
  • Planning and coordination of executive travel including itineraries, accommodation and venue reservations 
  • Be the welcoming first point of contact for guests coming to our office 
  • Lead, manage and maintain the day to day running of the office and its facilities 
  • Coordinate room bookings and prepare meeting rooms 
  • Manage relationships with building services and suppliers, regularly reviewing contracts 
  • Maintain office supplies and ensure health and safety compliance 
  • Handle incoming calls, emails, and correspondence professionally and promptly, filtering and prioritising messages as needed 
  • Schedule and coordinate internal and external events, making all necessary arrangements, including venue booking, catering and managing invitations. 
  • Provide operational support to the managing partner for business activities such as preparing reports and planning team meetings 
  • Work closely with the business administrator to support the onboarding and welcoming of new team members 
  • Show initiative and the ability to work independently, making decisions and solving problems on the go 
  • Adapt to changing priorities and assist with ad-hoc tasks as required to support the leadership team and ensure smooth operations 

 

Skills and experience required 

  • Exceptional organisational and time-management skills 
  • An eye for detail and a pride in delivering a high standard 
  • A desire to make a difference to our clients and team 
  • Strong communication and interpersonal skills, with the ability to interact professionally with individuals at all levels 
  • High level of discretion and integrity, with the ability to maintain confidentiality 
  • Experience as a personal assistant or in a similar role 

 

Expected Start Date: 21 October – we can be flexible.

Job Type: Full-time, permanent 

Location: Edinburgh, office four days per week, option to work from home one day per week
