Full Job Description

· Providing administrative support to the 6-person executive team here at Xodus. As a global business this means that the team is spread across at least 3 different time zones (Europe, North America and Australia) and multiple geographic locations.

· Planning and scheduling meetings, events (such as company roadshows, conferences, workshops and away days), client visits and board meetings with primary shareholder.

· Handling correspondence and managing personal calendars.

· Filing, typing, answering telephones, dealing with emails, drawing up invoices and other administrative tasks within an office, to lighten the workload of the executive.

· Recording and distributing minutes of meetings, filing reports and other administrative documents, and meeting with important company associates on behalf of C-level executives.

· Making travel and hotel arrangements for the team and individuals

· Liaising with other members of staff and external parties such as clients and press

· Producing monthly executive reports, letters, presentations, and graphical information

· Preparing expense reports and maintaining a filing system

We are seeking a meticulous and efficient Executive Team Personal Assistant to support our executive team in managing daily administrative tasks. The ideal candidate will be highly organised, possess excellent communication skills, and have a proactive approach to problem-solving., · Previous experience within a Personal Assistant or Executive Assistant role, supporting at executive level

· The ability to handle information professionally and confidentially, with the upmost discretion

· Strong attention to detail, with the ability to multitask and adapt in a fast-paced environment

· Excellent organisational and time management skills, to meet strict deadlines

· Great rapport building skills, to build strong relationships with the executives

· Computer literacy, including Word, Excel, PowerPoint, Teams, and Outlook

· The ability to thrive both independently and as part of a team

· Exceptional communication skills, both written and verbal
