Smith Scott Mullan are seeking an experienced Finance/Accounts Administrator for a role based in our friendly architectural practice, located in central Edinburgh.

This role is to provide comprehensive support to the Directors on all financial aspects of the business.

It is anticipated that this role will be for two to three days per week, depending on experience of the candidate and by negotiation.


Responsibilities Summary

  • Processing supplier payments.
  • General management of the banking facilities.
  • Manage all payroll tasks, pension contributions, expenses etc.
  • Checking fee agreements and raising client invoices for Director approval.
  • Inputting, monitoring and updating project fee and sub-consultant fee information in our project management software.
  • Preparing and reconciling client statements and managing unpaid client invoices.
  • Prepare regular Cash Flow Forecasts and Aged Debtors reports for the Directors.
  • Post transactions to accounting software for suppliers, sales, nominal and bank transactions.
  • Prepare Quarterly Management Accounts for the Directors.
  • Draft and monitor the Yearly Budget based on historical information and year plans with input from Directors.
  • Provide financial information and liaise with Company Accountants in preparation of Year End Accounts.
  • Prepare Quarterly VAT return, arrange VAT payments, R&D Tax rebate etc.
  • Supporting Director with ad hoc reporting.

Skills / Experience

The ideal candidate for the role will:

  • Have experience in a similar role previously.
  • Have working knowledge of Xero or similar accounting software package.
  • Ideally be part qualified CIMA/ACCA, or qualified by experience.
  • Possess excellent IT skills with Microsoft Office programs, particularly Excel.
  • Have strong communication skills, be organised and self-motivated.
  • Be flexible and able to manage multiple tasks.
  • Ability to build and maintain strong relationships with our staff and clients.
  • Experience of working within an office environment.
  • Be proactive in seeking support and training opportunities.
