Full Job Description

  • To assist with the management of the UK Fleet of our vans across our Regional Sites. You will be responsible for around 70 vans for your Edinburgh Site.
  • Fleet Check Sheets to be completed and updated, as instructed by Fleet Manager.
  • It is the Fleet supervisor's responsibility to be satisfied that all vehicles are maintained in a road worthy condition, complying with statutory legal requirements.
  • To ensure weekly assessment Sheets (van checks) are being completed by each city's Operations Manager on a timely basis
  • Assist with b-spokes in house training programme to achieve ROSPA driver training approval
  • Ensure all vans are maintained in a good, safe and road worthy condition, complying with statutory requirements. Undertaking minor vehicle maintenance tasks as required.
  • Ensure all driver changeovers are accurately recorded on our database software, the same day as any changeover occurs.
  • Ensure a thorough vehicle handover check is carried out. It is important to identify any issues or damage with the van, and to ensure this can be recorded against the correct driver.
  • Ensure any required damage deductions; fuel or valet charges are appropriately recorded and apportioned to the correct driver, for deductions from pay, close liaison with the Fleet and Finance Managers.
  • Completion of daily fleet stat sheets.
  • Help maintain the online insurance database with your depot's fleet data, including records of who is in which van.
  • Ensure all vans are kept clean and well presented. Follow our agreed processes for authorising any deductions from pay if our standards aren't met by drivers.
  • Embrace b-spokes Driver Safety standards and champion safe driving by all drivers in your depot. Be responsible for providing constructive feedback to drivers on their driver safety scores, and any incidents or near misses.
  • Ensure arcuate records are kept using our recognised systems.
  • Where an accident has occurred with one of our vans, ensure all vans have Accident Forms, which include photos, witness statements and contact details for all involved parties.
  • Keep a register of tools, stocks and vehicle supplies necessary for ensuring depot vans are kept roadworthy and well maintained.
  • Work with our recognised agencies/local garages to coordinate regular servicing, MOTS, any required repairs, hiring and off hiring, as per Fleet VSOR targets.
  • Carry out driver training/Van assessments with new and existing drivers.
  • Assist with the developing b-spokes in house training programme to achieve recognised driver training approval.

    Ideally have a motor vehicle mechanic qualification, or strong experience of vehicle maintenance, with the ability to demonstrate competence in this area.
  • Must have experience in vehicle maintenance/repair, preferably in Rent-a-Car or Automotive Repair Shop/Similar.
  • Be able to confidently examine and assess vehicles in relation to legal requirements/mechanical and bodywork damage.
  • Have excellent communication skills and be confident to report on fleet damages in a timely, clear and concise manner.
  • Be able to work and make good decisions under pressure.
  • Be competent in using a PC, including MS Excel and Word, as well as the ability to use email and keep online records of fleet checks /conditions/repairs etc
  • Have a valid and clean driving licence
  • Be enthusiastic, with drive and energy
  • Be task focussed, well organised, reliable, and trustworthy
  • Have strong attention to detail
  • Have the ability and be comfortable to work on your own, but also as part of a small team
  • Have a flexible attitude to working hours (e.g. attending breakdowns / accidents as required)
  • Ideally, we are seeking applicants with experience of working in a similar fleet or vehicle maintenance background.
