Full Job Description

Eden Scott are recruiting an HR Administrator for our Edinburgh City Centre technology client.


This is a newly created position which will work alongside and report to the HRBP, working with, enabling and supporting functions such as Finance, IT and Marketing, to support their employees across their global locations. The role holder will be a trusted team player, working closely with employees and managers alike to support our teams through all administrative aspects of the employee lifecycle and HR project support.

Our client offers hybrid working, with 3 days office based per week.

  • Manage the full on- and off-boarding process by supporting managers and employees through each step.
  • Prepare and issue offer letters and contracts, ensuring fully signed copies are securely stored.
  • Obtain and follow up on employment references for new hires, ensuring satisfactory references are received before the start date.
  • Coordinate new hire welcome details about one week prior to commencement, ensuring timely receipt of required information for payroll.
  • Maintain accurate employee records, ensuring all documentation is completed on time.
  • Handle the timely storage of employee-related documents (e.g., appraisals, salary review letters) Guide managers in developing onboarding plans for new employees.
  • Manage the offboarding process, including generating leaver letters, calculating annual leave, and liaising with Finance for payroll adjustments.
  • Assisting with the administration, tracking, and management of employee benefits, ensuring accurate records are kept and addressing employee queries related to benefit schemes.
  • Respond to reference and mortgage confirmation requests, obtaining appropriate consent.
  • Provide day-to-day HR administrative support, ensuring accurate management of employee paperwork in line with GDPR, legal, and audit requirements.
  • Support the administration of UK visa sponsorships, global mobility, and employee relocations.
  • Identify and propose process improvements to enhance HR systems and workflows, developing process guidance as needed.
  • Handle confidential information with discretion, maintaining the highest level of integrity.
  • Manage the applicant tracking system, ensuring smooth posting and timely responses to candidates
  • Maintain accurate records of annual leave balances for all employees, including new hires and part-time staff.
  • Generate regular leave balance reports for managers and employees, increasing frequency as needed towards the end of the year.
  • Oversee the annual leave carryover process, ensuring compliance with company policies
  • Provide administrative support in employee relations matters, including note-taking during formal meetings
