Duties and Responsibilities
Duties:
- Use of our case management system, working in line with set procedures.
- Manage and direct incoming phone calls, emails, and other enquiries from clients, ensuring prompt and accurate responses.
- Be the friendly first point of contact for new and existing clients, providing them with information and guidance on our services.
- Keep client files and records up-to-date and accurate, making sure everything is easily accessible.
- Help draft and send out legal correspondence, including letters, emails, and official documents.
- Coordinate with legal staff to ensure client communications are handled efficiently and effectively.
- Handle confidential information with the utmost professionalism and discretion.
- Support the new business team with any additional tasks as needed.
- Track and follow up on client cases to ensure deadlines are met and clients are kept informed of progress.
- Collaborate closely with other administrative staff and legal professionals to ensure a smooth workflow and a positive work environment.
- Participate in team meetings and contribute to the improvement of team procedures.
- Make a fantastic first impression on our clients as the friendly face (or voice) of the firm, showing them our commitment to excellence and making a real difference from day one.

Required Skills:
- Great verbal and written communication skills.
- Strong organisational abilities with a knack for multitasking and prioritising tasks.
- Comfortable using Microsoft Office Suite.
- Trustworthy with confidential information.
- Experience in a legal or professional services environment is a plus.
- Professional attitude and able to work well under pressure.

Core Hours:
34.5 hours per week plus 2 hours 15 minutes additional overtime (one late night finish per week of 7pm and a rotated 5:30pm finish on a Friday).
8.45am - 4.45pm, Monday - Thursday.
8.45am - 4.15pm on a Friday.
Hybrid Working:
To begin with, the successful candidate will be based in our Glasgow office full time for a maximum of 8 weeks for training. Once training is complete, the applicant can move to hybrid working if preferred and would be allowed to work from home two days per week (subject to business needs).
