Full Job Description

We have an exciting opportunity for a Maintenance Administrator to join our Retail team on a fixed term four month contract based in our Central Support Office in Lasswade. You will be the first point of contact for all store repairs and maintenance queries. You will have exceptional organisational skills to provide effective and efficient administrative support to the Maintenance Team.

This role will be required to undertake Out of Hours support, receiving and processing emergency calls at weekends (1 weekend out of 4). There is an additional payment for this.

Responsibilites

  • First point of contact for all queries including calls, mail and email enquiries

  • Provide general admin support for the maintenance management and repairs team; ad-hoc admin support as required

  • Create, process and check repair and maintenance purchase orders and invoices

  • Ability to communicate and report key information clearly; provide the appropriate level of information and data required to the wider team

  • Maintain an up-to-date register of maintenance and certificates

  • Assist with the authorisation of quoted repairs sign off

  • Occasional weekend cover and possible site visits with the odd night away.

    Experience working as an administrator in a busy department.

  • Excellent organisation skills with strong attention to detail.

  • Proactive to get things right, every time.

  • Strong planning, prioritisation, presentation and problem-solving skills. You'll need to be comfortable managing multiple tasks with tight deadlines.

  • Strong interpersonal skills - you will be building relationships with colleagues and stakeholders throughout the business.

  • Excellent written and communication skills.

  • Has a curious mind and a desire for continuous learning; self-aware and open to feedback; does not become defensive when receiving feedback but sees it as an opportunity to grow & develop; confident and able to admit mistakes and learn from them
