Full Job Description

We have an exciting opportunity for a Maintenance Administrator to join our Retail team based in our Central Support Office in Lasswade on a 12 month fixed term basis. You will be the first point of contact for all store repairs and maintenance queries. You will have exceptional organisational skills to provide effective and efficient administrative support to the Maintenance Team. This role will be required to undertake Out of Hours support, receiving and processing emergency calls at weekends (1 weekend out of 4). There is an additional payment for this. Responsibilites

  • First point of contact for all queries including calls, mail and email enquiries
  • Provide general admin support for the maintenance management and repairs team; ad-hoc admin support as required
  • Create, process and check repair and maintenance purchase orders and invoices
  • Ability to communicate and report key information clearly; provide the appropriate level of information and data required to the wider team
  • Maintain an up-to-date register of maintenance and certificates
  • Assist with the authorisation of quoted repairs sign off
  • Has a curious mind and a desire for continuous learning; self-aware and open to feedback; does not become defensive when receiving feedback but sees it as an opportunity to grow & develop; confident and able to admit mistakes and learn from them
  • Adapts quickly to change, able to effectively prioritise workload to meet deadlines / targets; asks questions to establish if there is a better way of doing things; tailors' approach and language used to the audience

  • Maintenance registers and certificates are kept up to date
  • Purchase Requisitions are raised and authorised accurately to generate POs
  • All invoices are processed timely
