Full Job Description

NHS Scotland is committed to encouraging equality and diversity among our workforce and eliminating unlawful discrimination. The aim is for our workforce to be truly representative and for each employee to feel respected and able to give their best. To this end, NHS Scotland welcomes applications from all sections of society.

NHS Scotland is reducing their full-time working week from 37.5 to 37 hours per week from 1 April 2024 but with no change in pay.  This reduction will also be applied pro rata for part time staff.  This advert and any subsequent offer/contract of employment therefore reflects the new working hours.  However, as not all service areas will be able to adopt the 37-hour working week immediately from 1 April 2024, you may be required to work up to an additional 30 minutes per week for a temporary period for which you would be paid until the service you are working in changes rosters or working patterns to accommodate the new reduced working week.  If you have any questions or concerns, please contact the Recruiting Board.

A fundamental part of Cancer Services in Tayside is the tracking of cancer patients through their pathways, and to Multi Disciplinary Team Meetings (MDM), where patients diagnoses and best future management of their condition is discussed.

Our MDM Coordinators / Cancer Trackers undertake challenging work within a dynamic multidisciplinary team environment to help support cancer patient pathways. The post holders will be responsible for prioritising and scheduling their own workload and have the ability to maintain high levels of accuracy whilst working to strict deadlines.

Advanced Microsoft Excel skills are essential for this role.

The MDM Coordinator/Cancer Tracker will work with the Cancer Information and Audit Team, cancer clinicians and other NHS staff in Tayside and North East Fife to:

  • To understand and implement the National Cancer Waiting Time performance standards (e.g. 31- and 62-day targets).
  • Responsible for timely and accurate collation, input, extraction, and interpretation of a wide range of cancer data, using MS Excel alongside NHS Tayside systems to inform priorities and escalation requirements, to track cancer patients as effectively as possible and to ensure the team meet reporting and submission deadlines.
  • Be responsible for tracking and navigating urgent suspicion of cancer referrals and patients diagnosed with cancer through cancer pathways to ensure local and national cancer waiting times targets are met.
  • Support cancer services by proactively monitoring and progressing patients on cancer pathways; identifying patients who may breach local and national targets, escalating issues and delays to colleagues across the board, and requesting timely resolutions for individual cancer patients as well as cohorts.
  • Coordinate regular multi disciplinary team meetings (MDMs) for patients diagnosed with cancer(s) to ensure that the journey of each cancer patient runs smoothly and is progressed in a seamless manner. Work closely with all members of the multi disciplinary team and associated clerical staff.
  • Capture decisions, outcomes and treatment plans discussed in MDM and maintain tracking lists of patients awaiting further discussion.
  • Provide cover and support within the wider Cancer Information and Audit Team where required.

Applicants must have strong organisational skills, good experience of working with excel, excellent communication skills and the ability to manage their own time effectively.  Preferred candidates will hold a Secretarial / Business Administration qualification or have demonstrable equivalent experience.

Previous applicants need not apply.

You will be required to achieve the mandatory Induction standards for Healthcare Support Workers in Scotland and to comply with the Code of Conduct throughout your employment.
