Full Job Description

Utopian Professional Recruitment are working in partnership with a leading Construction Consultancy who are looking to expand their team and recruit a highly dedicated and organised Office Administrator on a full time, permanent basis.

Working within their Edinburgh OR Glasgow office, you will be part of a small but highly successful team, and you will provide first class administrative support to colleagues and senior members of the organisation.


Your key duties will include:

  • Support the office with all administrative tasks
  • Typing of administrative documents
  • Manage all incoming and outgoing mail
  • Maintaining stationary supplies and placing orders when required
  • Ensure paper stationary supplies are available at all times
  • Update and maintain company contact databases
  • Managing meeting room bookings using calendars
  • Ensuring meeting rooms are prepared for future events and then tidied afterwards
  • Organise travel arrangements for staff when required
  • Regular review and updating of company project data sheets
  • Managing and recording of staff holidays
  • Assist Directors and colleagues when required, including typing, scanning, collating reports etc
  • Assist with any hospitality events (dinners, golf days etc)
  • General office support
  • Check printers and ensure all supplies are readily available including paper, ink & cartridges
  • Ensure full office is kept clean and tidy throughout the working week
  • Ensure front of house area is tidy and ensuring clients and visitors receive the warmest of welcomes

To be considered for this opportunity, our client requires the following background and/or experience:

  • Previous background working within a busy and varied administrative role
  • Background within Property or Construction would be advantageous
  • Ability to work professionally and as part of a small team
  • Excellent MS Office knowledge
  • Natural confidence dealing with clients and senior management
  • Proactive, hardworking with the ability to use your initiative and forward plan
  • Organised, efficient with a great eye for detail
  • Committed to providing first class service to all clients
  • Excellent communication and interpersonal skills
  • Ability to adapt to different situations and work well under pressure
  • Self-motivated and driven
  • This role would be suitable for someone who is looking for a long term career and seeking development within their role

Reward

  • This is a full-time, permanent opportunity working Monday to Friday 9-5pm (37.5hrs)
  • Flexibility will be provided with the option to WFH 2 days per week
  • Holiday – 25 days plus 8 Bank Holidays
