Full Job Description

Our client is a thriving, independent Chartered Accountancy practice based in the heart of Glasgow’s business district. With a seasoned team of professionals, many from larger national and international firms, the business is committed to client success and sustainable growth. They are looking for a skilled Office Manager to take charge of their office operations and lead our support team.


As the Office Manager, you will work closely with the Partners, ensuring smooth day-to-day office operations and exceptional administrative support across all departments. This role involves managing a dedicated support team, coordinating with IT and external partners, managing billing, overseeing facilities, and organising training, marketing, and client events.


Key Responsibilities:


  • Team Leadership: Manage a support team of three (secretary, admin assistant, and office assistant), ensuring efficient office support and high service levels.
  • PA Support: Provide occasional PA support to partners, covering busy periods or absences as needed.
  • Secretarial Services: Deliver secretarial assistance to the wider team, covering for peak times and leave.
  • IT Coordination: Act as a key contact for IT, managing processes, holding regular meetings with external partners, and handling equipment contracts.
  • Office Management: Oversee health & safety, implement paper-light initiatives, and coordinate office maintenance with suppliers and contractors.
  • Financial Oversight: Manage office expenditures and perform monthly reconciliations for credit cards, pay-ins, and cheques.
  • Billing Management: Ensure accurate, timely monthly and quarterly billing of fees to clients, collaborating with partners to address any billing queries.
  • Training & Development: Coordinate training sessions for staff and liaise with external training providers.
  • Marketing & Communications: Manage client communications, maintain the firm’s website, and organize client boardroom lunches.
  • Event Planning: Organise staff outings, the annual Christmas party, and other team celebrations.

Candidate requirements:


  • Strong organisational skills with attention to accuracy and detail.
  • Excellent verbal and written communication skills.
  • Proven office management experience, ideally within professional services.
  • Skilled in IT and vendor management, with a process improvement mindset.

This role will be mainly office based with the option to work one day from home once trained. Their is flexibility around working pattern with core hours being Monday to Thursday 9am-5pm, Friday 9am-4pm (Flexible start and finish times).
