Position

An opportunity has arisen for two permanent Personal Secretaries based at University Hospital Ayr.

We are seeking flexible, enthusiastic and highly motivated individuals to provide comprehensive administrative support to our senior management team. 

What you will do:

The management support team provide a high quality professional service to the extended senior management of the Acute Services team

As well as accurate, timely, proactive private secretarial services and meeting management to identified managers, they also deliver operational governance by supporting the Business Manager in the implementation of processes which support the appropriate management of quality, finance, HR, charitable funds etc.

Each member of the team is accountable for a specific process area whilst all contribute collectively to the completion of trackers and reports in order to support robust governance of quality & financial management and supporting the Training and Development within the Service. 

Please note that while the day-to-day workload for these positions will be directed by the Site Director, Chief Nurse, and Lead Nurses, these roles are part of the Acute Management Team and may be adjusted in accordance with service needs.

Current posts available are;

Post 1 working to Lead Nurses for Emergency Care, Surgical Services and Medical Services.

Post 2 Working to UHA Site Director and UHA Chief Nurse.

Knowledge, training and/or experience required to do the job:

Excellent communication and interpersonal skills are essential, as is the ability to work on your own initiative as well as part of a team. Post holders are required to be competent in using MS Office particularly Outlook, Word, Excel, PowerPoint and MS Teams. As well as being able to prioritise workload and working to tight timescales in a dynamic and fluid environment, balancing conflicting demands to maintain efficiency throughout the team are key skills. Previous secretarial experience is essential.
