Full Job Description

We are recruiting for a Team Co-ordinator based in our Glasgow office to support our growing Private Client practice. 

This role represents a unique and exciting opportunity to be part of the continued expansion of our brilliant Private Client practice and to join a fantastic team. Reporting to the Head of Department, Pamela Niven, this role will be key to the organisation and smooth running of the department.

Responsibilities will include:

  • Diary /Call Management
  • Co-ordination of
  • Private Client Partners’ Meetings including agenda, invites and minutes
  • Private Client department meetings including agenda, invites and minutes
  • Balanced Scorecard process for the Private Client team, including co-ordinating meetings
  • Management of the team’s WIP review process
  • Arranging meetings of our:
  • Training Group
  • Business Development Groups
  • Specialist accreditation candidates
  • Arranging Training sessions including liaising with speakers, issuing meeting planners, circulating/storing papers
  • Scheduling presentations to the team by those who attend external courses
  • Checking CPD records to ensure sufficient hours recorded at certain points in year
  • Assisting with the management of Private Client support tasks including monitoring CMI processes, billing, file closures etc
  • Liaising with Risk Champions and assisting with the management of team compliance projects
  • Assisting with the management of team statistics

Skills required:

  • Experience within a Private Client environment
  • Excellent secretarial, administrative and organisational skills
  • Excellent IT skills including use of excel and PowerPoint
  • Excellent communication skills, verbal and in writing
  • Ability to prioritise and work to deadlines under pressure, often with short notice
  • Ability to use initiative and to work both independently and as part of a teamAttention to detail and accuracy when working with data or creating content
