Full Job Description
We are seeking an experienced and proactive Project Administrator to join our team at the Port of Leith. This role is central to providing high-quality administrative support and effective project document control. As the key point of coordination, you will ensure documentation is accurately maintained, accessible, and up to date, supporting the wider team in delivering successful project outcomes.,
- Provide administrative support to the team, including scheduling, organising meetings and maintaining office systems
- Manage project documentation, ensuring that all documents are properly stored, organised and accessible
- Maintain accurate records, databases and filing systems to ensure information is easily retrievable
- Support in the co-ordination of events, meetings and appointments for the team
- Collaborate with other teams across the business to enhance workflows, improve efficiency and increase customer satisfaction
- Work closely with the site team to ensure smooth coordination between office and field activities
We are looking for a highly organised and dependable individual who can take ownership of administrative processes and become the central support figure within the project team. You will be the "go to" person-capable of keeping documentation in order, ensuring colleagues stay on track, and proactively driving progress where needed. Your ability to prioritise tasks, communicate effectively, and maintain attention to detail will be critical to success in this role. The ideal candidate will demonstrate flexibility and a hands-on approach, with the confidence to liaise across teams, including site-based personnel. As the role involves regular interaction with our site teams and may require occasional travel to other port locations, access to your own vehicle and a full UK driving licence are essential. This is a full-time, on-site role (Monday to Friday, 9am-5pm), based at the Port of Leith, with some flexibility in working hours depending on project needs., - Proven experience in an administrative role, ideally with a background in the offshore industry
- Excellent communication skills, both written and verbal, with the ability to liaise effectively with team members and stakeholders
- Strong organisational and multitasking abilities, able to manage various tasks and priorities efficiently
- High attention to detail and the ability to maintain confidentiality when handling sensitive information
- Proficiency in Microsoft Office
- Ability to work both independently and as part of a team
- Strong problem-solving mindset and ability to resolve issues quickly, Proven administrative experience with strong organisational skills and attention to detail, ideally within the offshore or technical sectors
- Excellent communication and coordination abilities, with confidence to support both office and site-based teams
- Full UK driving licence and access to own vehicle, with flexibility to work on-site at the Port of Leith and travel to other locations as required
