Full Job Description
Main Purpose Assist Systems Manager in day-to-day service delivery by providing first line support for all operational system functions related to Property Systems.
- Input into the planning and development of all Aegon Property Services System to ensure that the quality of system information is adequately managed on the Aegon contract for all partners.
- To highlight potential issues and identify potential methods of mitigation or solutions to ensure on-going service.
- To work with Aegon UK Property Services management and operational teams and to ensure that all systems are managed correctly in accordance with company and other standards.
- Assist management and operational teams to ensure FES and Aegon UK standards are adhered to.
- To undertake personal development to expand on-site role.
- To monitor and produce reports for Management and Operational Teams highlighting problem areas and opportunities for improvement.
- Ensure all systems remain compliant and are kept fully up to date through regular reviews of upgrades etc
- The validity of data is regularly reviewed and kept up to date
- Assist System Manager in general administrative tasks such as providing reports, procurement or anything else deemed appropriate. The above will be achieved via development of and adherence to both FES & Aegon UK company management systems and other techniques. Key Responsibilities
- Act as subject matter expert on CAFM best practices, offering training on key systems and processes both internally and to the wider Aegon UK business, including tenants where applicable. Contribute and input into service delivery improvements and developments and engage with 3rd party suppliers to obtain prompt issue resolution.
- Create identity access management (IAM), and role-based access control (RBAC) to protect sensitive data, including but not limited to building access, maintenance schedules, and asset inventories.
- Work within GDPR, DPIA, and other regulatory frameworks where applicable to assist in coordination of system upgrades, patches, and new feature deployments.
- Create a centralised register of all system support contracts, key contacts and stakeholders for communication and troubleshooting of issues.
- Ensure a comprehensive asset register for all system technologies is kept current.
- Engage with users and collate continuous feedback to improve systems usability, functionality, and performance.
- Analyse and report on key trends, developments and opportunities for improvement.
- Ensure proactive system monitoring and support, diagnosing and resolving issues quickly to minimize operational disruptions.
- Data inputting, uploading and cleansing of data to ensure only relevant and accurate information is held on record.
- General administration duties as required.

- Understanding of Facilities and Property management
- Knowledge of MRI Concept CAFM System an advantage
- Understanding of asset systems, registers and lifecycle process
- Understanding of security protocols for facilities systems
- Understanding of system regulatory frameworks
- Knowledge of ISO50001
