Role Overview: This role is to provide administrative support to technical staff and project manager in the conduct of daily business across numerous locations, including roles supporting project delivery, and to provide focused support to members of the group management team. Our team administrator's are fundamental to the efficient operation of our high-performing team. The team relies on proactive support staff, who can work well as part of a team and independently, including remotely beyond their own office location. The role requires that high standards of respect, integrity and confidentiality are maintained.General Responsibilities: We are looking to hire someone who is proactive and supportive, assisting our team deliver consultancy services efficiently and effectively through attention to detail, quality of service and problem solving. There will be an element of generating your own work from offering your skills throughout the group. The successful candidate will be expected to:
- An advanced user of standard software tools, including MS Office, Adobe, PowerBI and MS Teams, with an ability to bring skills into the business. Adept and interested in developing proficiency with more specific tools including CRM, and in-house developed bespoke tools (initial training provided as necessary).
- Provide administrative and non-technical support to consultancy staff.
- Project contributions may involve contributing to research, reporting back findings and liaising with other parts of the business.
- Provide specific administrative and logistical support to members of the group management team and senior leadership to assist in the effective delivery of their responsibilities.
- Arrange meetings with multiple attendees, seeking suitable times and locations, including setting up tele- / videoconferences, taking minutes as appropriate. Organise catering or other arrangements for meetings as necessary.
- Fully format documents in line with relevant templates and style guides, and client expectations where relevant, including use of advanced formatting functions.
- Make travel arrangements such as flights, hotels and car hire.
- Arrange internal lunch time webinars.
- General office administration (printing, photocopying, binding archiving etc)
- Prepare typed/written documents (proposals, minutes of meetings, letters and memos, etc) from various sources such as hand written notes and general instructions.
- Complete Customer Satisfaction Survey information with support of Project Managers.
- Regularly update CVs, Project Reference Sheets (PRS), client management databases and other internal records and systems on behalf of the group.
- Maintain accurate expense records, review invoices prior to approval.
- Ensure correct and efficient staff on- and off-boarding processes are completed. What we're looking for:
- Is vocational with relevant experience. Understands how to use practical methods and techniques after some specialised training.
- Applies work related systems and processes. Knowledge of processes, procedures and guidelines of the assigned discipline/business.
- Can interact with others with professionalism and courtesy, has tact and effectiveness in providing and obtaining information.
- Performs operational activities, coordinates processes or tasks, with main focus on own Group/Corporate Group or within projects. Contributes to the preparation of documents, based on defined procedures and guidelines;
- Works independently within a defined area. Takes independent decisions concerning the support for the manager or team. Sets own priorities, in discussion with colleagues, based on understanding of the priorities for the assigned team/group.
