Full Job Description

Control of the CAFM system ensuring that the CAFM Asset register is up to date and Planned and Reactive Maintenance works are issued and updated to ensure statutory compliant, maintenance and rectification works are completed within the agreed contract SLA.

Deal with Sub-Contractors using trackers to ensure all PPM and reactive calls are managed accordingly.

Assist Account manager in both risk/op management of the P&L

This Job Description is not exhaustive and other duties and responsibilities of a similar level and nature may be required from time to time., To effectively co-ordinate the range of services within post holder's remit to ensure that contractual standards are achieved.

To be responsible that communications with both the client group local management, staff groups and contractors are conducted in the appropriate manner so as to ensure effective performance.

To effectively analyse the Service Performance data in order to identify trends and shortfalls in service delivery.

To ensure value for money and efficient use of resources including the procurement of goods, services and equipment, controlling pay and non-pay expenditure within budgetary limits.

To work as part of a team and ensure continuity of service at all times.

To assist with the recruitment and selection process of staff in accordance with company policy.

To have a good understanding of the contractual requirements as laid down in the Service Level Agreements.

To respond to complaints and other service issues timely and professionally.

To be proficient in the use of Computerised Facilities Management System and MS Office suite.

Update asset database and maintenance schedules as required and create works reports, equipment histories as required.

To prioritise workload and issue Jobs in advance affecting efficient use of time, ensuring statutory compliance is completed and contractual SLA & KPI timescales are met, often adjusting rapidly to changing priorities.

To ensure records are kept up to date on MRI, or any future system, inputting, amending, deleting and modifying data and information accurately and completely consistent with procedures.

To identify equipment under Service Contracts and action appropriately.

To be aware of the confidential nature of the Mitie FM and Authority business and maintain confidentiality at all time.

To monitor purchase orders, collating costs for Planned and Reactive Maintenance, using the CAFM purchasing system and Departmental Databases.

Time sheet management

Provide reports to SPV & senior managers

To comply with the Company's Health and Safety strategy, policy and procedure and to ensure a safe and healthy environment for employees, visitors, patients and contractors.

Demonstrate a clear and effective alignment with the operational objectives and the commercial interests of Mitie.

To develop and maintain high motivation and morale within the workforce, which will require a specific focus on ensuring effective communications exist.

· The post holder will be involved in future budget setting processes.

· In conjunction with the Team the post holder will be responsible for ensuring appropriate maintenance agreements are in place for all Assets.

COMMUNICATION:

· The post holder will be expected to help account manager present to both local management groups and client groups in a way that clearly sets out future strategy as well as operational issue

AUTONOMY:

· The post holder will be expected to meet his/her line manager on a regular basis (at least monthly) to monitor progress on all operational issues.

ENVIRONMENT:

Physical:

· The post holder will have a desk in a open plan office and be expected to be experienced in computing skills necessary to carry out the role.

Health & Safety:The Health & Safety at Work Act 1974 and amendments state it is the responsibility of all employees to comply with Health and Safety Law. The post holder will be required to attend all statutory Health and Safety training.

The post holder is required to comply with the Company's Health & Safety strategy, policy and procedure to ensure a safe and healthy environment for staff members, visitors, patients, contractors and others. The post holder must comply with the designated levels of responsibility as detailed within the Interserve Cumberland Infirmary Healthcare Project, Health & Safety Plan.

No Smoking:

There is a policy of No Smoking in all premises. Smoking is only permissible in certain designated areas.

Location:

Office based at SNBTS Edinburgh - Site based with option of working from home occasionally as and when required.

· Management Degree

Knowledge & Experience

· Knowledge and experience on Hard Fm Services

· Previous experience in a similar role would be desirable.

· Experience working in a Healthcare environment.

· Able to analysis problems to find solutions

· To be a active participant in change management

· To have written skills in report writing and any other form of communication in writing

· Experience dealing with sub-contractors on PPM and Reactive calls

· Presentation skills for senior managers

· Excellent IT skills

· Financial acumen in order to assist in preparing budgets and monitor performance
