Job Role: Veterinary Receptionist

Location: McTaggart Vets, Dalry, Ayrshire 

Reports to: Practice Manager 

Salary: £23,400


Job Summary:

At McTaggart Vets, we aim to provide excellent and professional care to pets in Ayrshire and the surrounding areas. We are seeking a Full-Time Receptionist to join our busy, independent, family-owned practice and friendly team. As the first point of contact for pet owners, you will offer a warm welcome, create a positive and empathetic experience, and assist with appointments, record-keeping, and clerical duties related to pet care and treatment.


Job Responsibilities:

  •  Welcome and assist pet owners with warmth and empathy, both in person and over the phone.
  •  Answer phone calls and all incoming communications promptly and courteously.
  •  Listen attentively to pet owners' concerns and address them effectively.
  •  Schedule and coordinate appointments, provide relevant information, and maintain accurate records.
  •  Communicate our range of veterinary services and explain our clinic policies clearly.
  •  Coordinate with veterinary staff to ensure efficient service and teamwork.
  •  Keep the reception and waiting areas tidy and clean, inform clients of wait times and hand out dispensed medications.
  • Stock control and ordering.
  • Process payments, manage client invoice queries and clinic debt and handle insurance forms.
  • Demonstrate understanding during challenging situations and resolve enquiries or conflicts effectively.
  • Manage client data in compliance with GDPR and confidentiality requirements.
  • Adhere to Health and Safety procedures and maintain awareness of H&S at work.
  • Provide holiday/absence cover for other receptionists as needed.

Relevant Experience:

  • Proven experience in a receptionist or customer service role, preferably in a veterinary or healthcare setting (not essential).
  • Customer/client-focused with excellent verbal and written communication skills.
  • Strong organisational and time management skills with the ability to multi-task.
  •  Ability to remain calm under pressure.
  • Proficient in computer systems and office software.

Rota:

  • Contracted 37.5 hours per week including alternate Saturday mornings. Our clinic receptionists work shifts following a rota pattern within the hours of Mon-Fri 8am- 6.30pm and Sat 8am-12noon.
  • Contracts for 30 to 40 hrs a week will be considered with pro rata salary.
