Full Job Description

The Role

We are looking to recruit a Ward Higher Clerical Officer to join the Maternity/Neonatal Ward at University Hospital Wishaw!

The Ward Higher Clerical Officer will provide a high quality administrative service for medical and nursing staff. This will include:

  • Exchange information with patients and staff on the admission
  • Transfer and discharge of patients both verbally and in written format
  • Provide an admin & clerical service including typing, reception duties and scanning to both clinical and non-clinical staff. 
  • Provide admin cover in maternity / neonatal ward areas and internal offices.
  • Provide support by training new and existing admin staff as well as ward staff in IT systems.
  • Day to day maintenance of department requirements to ensure smooth running of department.

This includes both hospital and community based midwifery / neonatal nursing teams within and out-with NHS Lanarkshire, medical staff and consultants.

Contract Type and Shift Pattern

  • Fixed-term or Secondment - 2 years
  • Band 3 / Part Time / 34 hours per week
  • Mon - Sun / 07:00-19:30 / 3 days out of 7

What we'll need you to bring

  • SVQ Level 2 or equivalent with additional experience in an administration healthcare role.
  • Knowledge of administrative procedures and systems, some of which are routine and non-routine activities such as answering queries, task related problem solving acquired through experience and training.
  • Proficient in using various software packages including specialist maternity and neonatal systems such as Badger Electronic Maternity & Neonatal Records, Scottish Birth Record and TrakCare.
  • Understanding of a range of processes and procedures in accordance with NHSL policies and guidelines.
  • Ability to prioritise work and work using own initiative.
  • Evidence of effective team working and dealing with change frequently.
  • Evidence of strong communication skills with patients, consultants, medical staff members and colleagues.
  • Excellent organisational skills.
  • Evidence of strong competence with relevant IT systems.

It would be great if you also have:

  • General administrative background with administrative and clerical experience within Maternity and Neonates
  • TrakCare experience
  • Clinical Portal experience
  • BadgerNet Electronic Maternity / Neonatal Record
  • Scottish Birth Receord
  • Excellent interpersonal skills

From 1 April 2024, the working week for NHS Agenda for Change workers in Scotland will be reduced.  Full-time hours will reduce from 37.5 to 37 hours (pro rata for part-time staff) without loss of earnings.

NHS Lanarkshire will implement this change but it may not be possible to fully transition from 1 April and there may therefore be some areas of the organisation where implementation may take longer.  If the department is currently unable to safely accommodate the reduced hours from 1st April, you may be required to work 37.5 hours per week until the department can meet the requirements without impacting patient safety - you will, of course, be remunerated accordingly. NHS Lanarkshire is committed to full implementation of the 37 hour working week across all areas as soon as it is safe to do so.
