Full Job Description
Murray Recruitment are recruiting a Service & Contracts Administrator for our client based in Hillington.
Role Overview:
This role is pivotal in ensuring the smooth and efficient operation of the Service Centre's administrative functions. The successful candidate will coordinate the activities of service engineers, support project teams, and manage customer interactions, financial documentation, and internal processes. This is a key position requiring a proactive individual with strong organisational skills and a commitment to excellent service delivery.
Key Responsibilities:
- Handle customer queries and instructions via phone or email professionally and efficiently.
- Escalate issues to supervisors or management where necessary while using initiative in the absence of direct oversight.
- Manage documentation for prompt and accurate invoicing of service outputs.
- Coordinate field service engineers’ activities, including rotas, job sheets, and training bookings.
- Participate in weekly operations and WIP meetings, including preparing meeting minutes.
- Manage goods in/out and parts allocation for jobs.
- Identify and support process improvements within the branch.
- Maintain office supplies and manage office stock levels.
- Input contract-specific data including opportunities, quotes, parts, and bills of materials into IFS.
- Issue purchase orders and track parts deliveries.
- Assist in the preparation of Operations & Maintenance manuals.
- Support invoicing, analysis, and reporting for projects.
Skills & Experience:
- Minimum 3 years’ experience in office administration.
- Proficient in Microsoft Office package.
- Excellent communication skills, both written and verbal.
- Strong organisational and planning abilities.
- Ability to meet tight deadlines and juggle multiple priorities.
- A collaborative team player with a proactive and positive attitude.
