We’re now looking for a dedicated , dynamic and organised School Administrator / Receptionist (Primary School Support Worker) to join our friendly team and community.

This is a key role in the life of our school. As Primary School Support Worker in the school office, you will support the Head Teacher, Depute Head Teacher, school staff, parents, and pupils by ensuring the smooth day-to-day running of our busy school office.

Working 32.5 hours each week during term time, you will carry out a wide range of duties, from welcoming visitors and scheduling meetings, to processing financial records and updating pupil data. The scope of the role is broad and demanding.

With responsibilities that include managing SEEMiS and ScotXed returns, supporting financial procedures through systems like Integra and PECOS, and sourcing supply staff through the Council’s Supply Booking system (and much more), the role demands accuracy, discretion, and a calm, professional approach.

You’ll be trusted to handle sensitive information with complete confidentiality, contribute to devolved school budget tasks, and keep things running efficiently—often being the first point of contact for parents and visitors.

Being a school administrator is a role that requires a diverse skill set. It is much more than managing the daily operations of a school; it involved strategic planning, effective communication, problem-solving, and leadership.

Responsibilites and Skills & Experience Required

We are looking for someone who brings warmth, professionalism, and a strong sense of organisation to our school community.

You’ll have a pleasant and approachable manner, experience of working in a school or similar environment, and a good knowledge of office systems and financial procedures.

Confidence with IT systems, especially SEEMiS and financial software, is important, as is the ability to work independently with minimal supervision.

Above all, you’ll be someone who shares our values—treating everyone with kindness, fairness and respect— whilst promoting honesty and displaying ambition.

We are looking for someone who is willing to dedicate their time to our school and who takes pride in being a reliable, supportive presence at the heart of our school.

Main Responsibilities

With minimum supervision you will carry out a wide range of routine clerical duties or tasks associated with a busy office environment e.g. filing and photocopying and scheduling appointments or meetings for others.

You will:

  • Be able to respond to visitors in a prompt, welcoming and courteous manner.
  • Observe strict confidentiality, exercise tact and discretion in carrying out tasks.
  • Process confidential paper based or computerised information through creating and updating files, data input, data retrieval and filing in an accurate and timely way.
  • File and archive materials, as required.
  • Undertake finance duties. This includes, complying with the Council’s financial procedures, using the Council’s financial software (Integra), processing of invoices and/or other financial documents, as required.
  • Update financial spreadsheets in respect of the devolved school budgets, for example, printing and monthly reconciliation of reports and pre-authorisation of invoices using Integra.
  • Process orders through the Council’s Procurement Systems and processes (PECOS).

  • Use SEEMIS - Entering, updating and monitoring information relating to pupils and teaching staff ensuring that it is accurate and up-to-date.
  • Work on Annual ScotXed Census Returns, liaising with staff in school, as required.
  • Preparereports and annual returns from SEEMiS in line with authority standards and requirements, where appropriate.
  • Work on the Annual Set-up of Classes using Primary Planning Wizard.
  • Source supply staff using Supply Booking system on behalf of Senior Management.

Skills and Experience Required

  • You must have a pleasant, warm and welcoming manner as often you are the first person someone meets when they call , email or visit our school.
  • You must care about making a difference to the lives of children and young people.
  • Experience in working with the public and the ability to work with the minimum of supervision are essential.
  • You must have an excellent aptitude for PC work and an excellent understanding of office procedures.
  • You must have previously demonstrated your ability to think on your feet and demonstrate a solution focused outlook.
  • Knowledge of Financial Record Keeping and procedures is essential.
  • Ideally we are looking for someone that can bring experience and knowledge of working in a school.
  • Previous First Aid training would be an advantage but a willingness to obtain this is essential to the role.
