Full Job Description

Role

CVS Inverclyde are looking for an experienced Volunteer Engagement Officer to support the delivery of our Volunteer Centre with a particular focus on offering volunteering as an opportunity for young people to gain skills and experience, leading to positive destinations.

Reporting directly to the Programme Lead, the post holder will be responsible for a range of objectives including the delivery of volunteering related projects, ensuring that project objectives are met, on time and within budget.

What you need to be successful

The successful candidate will have an established track record of volunteer management in the voluntary sector. They will require to demonstrate significant experience in volunteer recruitment, retention and management, with a particular emphasis on youth volunteering, or similar initiatives. They will possess a clear understanding of financial and budgetary processes as they relate to funded projects. They will be capable of monitoring and evaluating a range of deliverables and objectives. This role will be a positive role model for volunteering, showing energetic, determined, positive and robust delivery of the volunteering function with an ability to inspire confidence and respect amongst colleagues, partners and volunteers alike. 

Key Accountabilities

Volunteer Engagement and Recruitment:

  • An acute focus on raising awareness of the opportunities connected to volunteering in Inverclyde across all age groups and demographics.
  • Proactively engage with volunteer-involving organisations to ensure that there are opportunities for volunteers of all ages and demographics.
  • To build, engage and support our network of Volunteering Ambassadors in Schools and other organisations.
  • To manage the delivery of training for volunteers and organisations hosting volunteers. Liaise directly with local businesses promoting and encouraging sign-up of corporate volunteering.
  • Promote ‘’Volunteering for All’’ throughout the community motivating, promoting and engaging people of all ages to take part.
  • Work closely and celebrate with inspirational volunteers to create a Youth Champion Network and Mentoring process.
  • Directly match volunteers to constructive opportunities and record formal and informal volunteering placements.
  • Monitor, record and promote feedback obtained by volunteers and organisations for media PR opportunities.
  • Have the ability to think outside the box and project develop and evaluate current and future opportunities of volunteering in Inverclyde

Partnership Building:

  • Work closely with third party organisations (including secondary & further education establishments) and employers to promote the benefits of volunteering and be their first point of contact for volunteer requests.
  • Ensure effective representation and participation in Inverclyde’s weekly SDS Outreach Hub including providing advice and guidance for young people in Inverclyde to motivate and empower them to access volunteering opportunities.    
  • Establish and maintain effective partnerships with local authorities, local and national agencies, other third sector interfaces, and other stakeholders to enhance collaboration and resource sharing regarding volunteering.
  • Work closely with partners to develop joint initiatives that align with the TSI framework and contribute to community development goals.
  • Collaborate holistically with CVSI colleagues in volunteer idea formation, communications and marketing to help develop and deliver exceptional volunteer engagement and recruitment campaigns.
  • Create robust links for benchmarking and information sharing with Volunteer Scotland and other CVS communities.

Capacity Building and Training:

  • Mentor and conduct training sessions and workshops to enhance the skills and capabilities of volunteers, enabling them to be volunteer ready to actively participate within organisations.
  • Identify training needs and collaborate with partners to develop tailored training programmes that address the specific needs of the volunteers and organisations.
  • Use continuous feedback to upskill and build knowledge through training and development both face to face and automated.
  • Supporting the delivery of a wide range of events and initiatives with a focus on developing volunteering across many sectors of the community.
  • Deliver CVSI ‘Steps into Volunteering’ training course to young people, taking account of different learning styles and environments.
  • Manage the promotion and delivery of the Saltire Award volunteer and recognition programme in Inverclyde and build networks to help facilitate volunteering opportunities for young people taking part in The Duke of Edinburgh Award and any others like this.
  • Responsible for the administration of volunteering opportunities on our website Volunteer Inverclyde and to helping deliver volunteer resource as indicated as required for organisations on the Inverclyde Life website.

Data Collection and Analysis:

  • Collect relevant data and conduct assessments to identify volunteer and organisation needs, strengths, and areas for improvement, informing future programmes and initiatives.
  • Analyse data to generate insights and evidence-based recommendations for effective volunteering recruitment and development strategies.
  • To produce business critical information to inform partnership working and identify opportunities.
  • To ensure that all monitoring systems and activity related to the project are compliant with GDPR, current data protection legislation and CVSI’s policies and procedures.
  • Provide timeous reports on the progress of the project to the Programme Lead and Chief Executive.

General Duties

  • To work collectively across the CVS Inverclyde Team and the wider TSI Network in a collaborative, respectful, fair and honest manner; always undertaking to represent the organisation in an appropriate manner and with the integrity expected by CVS Inverclyde.  
  • To maintain accurate and up-to-date records using the MILO database and any other data systems used by CVS Inverclyde.
  • To prepare and assist with reports, media articles and any other monitoring requirements.
  • To attend internal and external meetings relevant to the project, as required by CVS Inverclyde.
  • To take part in learning and development activities required for this position and within CVSI.
  • Help find, develop and manage our own CVSI volunteer members.

Terms and Conditions

Salary: Salaries are paid in arrears at monthly intervals on or about the 28th of each month directly into your bank account.

Hours: Working hours are 35 working hours per week, Monday to Friday between the hours of 0900 and 1700. The nature of the post means that it is likely that from time to time evening and weekend work will be required. Paid overtime is not available, but time off in lieu will be given. 

Place of work: CVS Inverclyde’s offices are currently at West College Scotland, Finnart Street Campus, Greenock, PA16 8HF. Attendance of meetings and events in other parts of Scotland may also be required periodically, with travel expenses paid in accordance with CVSI’s Expenses Policy. 

Contract: Permanent    

Flexibility: Subject to ensuring that the needs of the charity and the role are met, CVSI endeavours to meet the flexible working needs of its employees. 

Holidays: Our holiday year runs between 1st April and 31st March. Holiday entitlement is [5.6] weeks, or 35 days which are inclusive of the [8] normal bank holidays. Holiday entitlement is pro-rata for part-time employees.

Pensions: You will automatically be enrolled into our Pension Scheme after you have been employed by us for three months. Within a month of being enrolled in the Scheme, you can send an opt-out form if you do not wish to be in the Scheme. If you do not opt out, we will deduct your contributions to the pension scheme from what we pay you. Current details of the Scheme and your rights relating to it, and of your and our contributions, will be provided to you separately.

Probationary period: 3 months. 

Notice period: 2 months.
