Acting as an integrated HR partner, the HR Manager will be solely responsible for the operational delivery and strategic direction of the HR function at the High School of Glasgow. Reporting directly to the Chief Operating Officer (COO), this role involves advising and supporting managers and staff members on HR matters. This is an end-to-end operational HR role.

Principal Accountabilities

Day-to-Day Operational HR

• Design and deliver an effective onboarding programme to welcome newly recruited staff to the school, which should be positive and informal but also convey the required information.
• Support hiring managers with recruitment of emerging vacancies and maintain an organisational chart which is reflective of current posts and roles.
• Generate and issue all employment contracts and associated documentation as and when required.
• Monitor sickness and other forms of absence, supporting managers with return-to-work interviews and liaising with Occupational Health as appropriate.
• Coordinate flexible working requests and leave (eg. maternity, paternity, compassionate, etc.) for staff, alongside discussing and implementing reasonable adjustments where appropriate.
• Identify training and development opportunities, organising the resourcing and delivery of these for staff and management as required.
• Handle the ‘offboarding’ process with departing staff, conducting exit interviews and ensuring the school maintains a good relationship with the individual.
• Drive all EDI initiatives for the school, engaging with managers and employees as appropriate.
• Work collaboratively with the Finance Team to ensure all appropriate data is submitted to payroll in a timely manner.
• Produce monthly HR report including summary, data and statistics for use by the Senior Leadership Team.
• Ensure the proper use of internal databases for recording HR information, such as holidays, CPD, etc.
• Identify process improvements and continuously enhance the delivery of HR services.
• Create all HR administration, documents, forms, letters, etc.
• Carry out any other similar and appropriate duties as required by any member of the Senior Leadership Team.

Professional Knowledge

• Provide guidance to staff with queries about a variety of HR issues.
• Act as a sounding board for managers with employment law or people management queries, providing advice and support where possible.
• Cultivate a working knowledge of HR best practice, relevant legislation and issues specifically affecting the Scottish independent schools sector.

HR Strategy

• Collaborate closely with the COO and Rector to create an HR strategy which reflects the School’s objectives, deliverables and statutory requirements.
• Advise and support senior management throughout the implementation of organisational development or restructuring plans.
• Develop strategies and take decisions related to staff remuneration and other benefits in partnership with the COO.
• Implement, improve and promote the staff health and wellbeing strategy.
• Manage the HR budget.

HR Systems

• Review and enhance the school’s suite of internal HR policies, procedures and documentation, ensuring both effectiveness and efficiency going forward.
• Review and update the employee filing system.
• Keep the HR/Payroll system fully updated.
• Establish and develop efficient internal channels of communication between staff.
• Oversee the retention and use of sensitive staff data, and respond quickly to data breaches or subject access requests in collaboration with the DPO.

Employee Relations

• Form healthy working relationships with staff at all levels of the school, helping to embed the school’s values (People, Excellence, Welcoming & Community) in the positive behaviours of staff.
• Support the Rector to chair the Staff Liaison Committee.
• Handle emerging employee relations issues promptly, sensitively and professionally.
• Conduct grievance and disciplinary investigations in line with best practice.
• Actively provide HR expertise and communicate to staff during any organisational staff or policy changes.
• Access to Employment Law Support via helpline.

Person Specification

Qualifications

• Educated to Degree Level
• CIPD Member at Chartered Status (Level 5) or equivalent knowledge

Experience / Skills / Qualities – Essential

• Significant previous experience in HR Management gained in a professional workplace
• Previous experience in a stand-alone HR role
• Willingness to roll up sleeves and get the job done
• Experience of managing employee relations issues/case management
• Experience of dealing with sensitive and confidential matters with the appropriate level of discretion
• Independence and self-motivation
• A good working knowledge of UK employment legislation
• Highly organised and excellent time management
• Good understanding and awareness of how HR can impact the school’s commercial indicators
• Excellent administration and IT skills (knowledge of Microsoft Office suite)
• High levels of accuracy and attention to detail
• Supportive and facilitative working style
• Proactive, with ability to look ahead to anticipate matters requiring attention
• Excellent interpersonal and communication skills
• Ability to multi-task and work under pressure, to tight deadlines.
• Right to work in the UK

Experience – Desirable

• Experience of working in an educational establishment
• Experience of producing HR data to inform business decisions

• Salary – £45,000 (Pro Rata £30,000)
• Hours – Up to 25 hours per week (0.7 FTE) (we’re open to discuss flexible working arrangements) Pension – 5% employee & 7% employer; after 10 years, 5% employee & 10% employer
