Full Job Description
The Operations Assistant will play a critical role in maintaining the infrastructure, resources and assets required to enable the BD, Marketing and Communications functions to focus on enhancing profile and growing client relationships. The role will work with global and regional teams to centralise and maintain key data and assets, as well on projects to support the adoption of automation and AI solutions.,
- Take ownership for maintaining the data sources, trackers and reference libraries which form part of the critical infrastructure for the department. These include, but are not limited to:
- Pitch content library
- Pitch log
- Procurement portal supplier profiles
- CV and image libraries
- Manage the process for updating firm information across the data references libraries as well as on key platforms and in assets such as our website, on third party platforms, in sales tools and marketing materials.
- Responsible for monitoring and maintaining identified mailboxes and directing the queries to relevant teams to action.
- Creating and updating trackers and calendars for the department, such as:
- Pitch log
- Legal directory research calendars
- Support subject matter experts across the department in recording and maintaining training and onboarding materials.
- Act as a Sharepoint champion and trouble shooter for the team.
- Maintain templates and guidance

- Familiarity with marketing and business development platforms, including website content management systems, CRM, SharePoint, or similar intranet platforms.
- Demonstrated experience in autonomously managing end-to-end processes while adhering to quality standards.
- Proven track record of taking ownership and maintaining processes and databases.
- Strong technology-driven approach to streamline and simplify tasks and workflows efficiently.
- Exceptional attention to detail.
- Ability to manage multiple projects simultaneously in a fast-paced environment.
- Self-motivated and takes responsibility for identifying needs of the business, works around problems to produce solutions and maintaining an optimistic outlook.
- Proactive in maintaining internal networks and understanding the business context and environment.
- Excellent communication skills with fluency in English.
- Knowledge of how BD and marketing teams operate in professional services environments preferred.
The Business Development team drives activities which generate revenue, working closely with our Client Excos to grow client relationships and enhance market positioning for the firm in its chosen global practices and markets. This is delivered through an integrated communications, marketing, and business and client development function.
