Full Job Description
At Happy Lets, we do more than manage properties - we build lasting relationships based on trust, communication and service excellence. As a leading lettings agency in Scotland, we’re passionate about helping tenants feel at home and landlords feel supported. With a strong team culture and a people-focused approach, we’re proud of the work we do and the team we do it with.
We’re currently looking for a Maintenance Coordinator to join our fast-paced, friendly office team. If you're highly organised, confident with admin, and enjoy problem-solving, this could be the perfect opportunity to grow your career in property.
About the Role
As a Maintenance Coordinator, you’ll be responsible for managing all repair and maintenance tasks across our rental portfolio from first report to final sign-off. You’ll liaise with contractors, landlords, and tenants, keeping everyone updated and ensuring work is completed efficiently, compliantly and to a high standard.
You’ll also support our property team in ensuring that properties are fully compliant and ready to market with minimal vacancy periods.
Responsibilities
- Log and manage repairs using SME Professional
- Communicate updates to landlords, tenants, and Property Managers
- Process and monitor contractor invoices, chasing any delays
- Support insurance claims and HMO compliance
- Maintain accurate records and key logs
- Handle general admin and phone enquiries
- Ensure daily system updates and communication logs
- Uphold company policies, ARLA Property Mark standards and GDPR compliance
Key Requirements
- At least 1 years’ experience in a similar role
- Excellent organisational and time-management skills
- Confident communication and customer service skills
- Strong attention to detail and ability to multitask
- Proficiency in Microsoft Outlook and Word
- Experience using SME Professional is desirable
- A proactive, positive attitude and a team-player mindset
What We Offer
- Competitive salary: £24,700 – £25,500 DOE
- Company Sick Pay
- Annual "Me Time" day on your work anniversary
- Company-funded ARLA/PropertyMark Level 6 Qualification (after probation)
- Friendly, supportive team and a great office culture
- Hours: Monday to Friday, 8.30am – 5.00pm
If you’re ready to be part of a company that values professionalism, teamwork and making people feel at home, we’d love to hear from you.
