Full Job Description
To support (in general) the procurement operations of the Procurement and Commercial department and provide direct support to Procurement Specialists, the Procurement Operations Manager, and the Head of Procurement and Commercial. The Associate Procurement Specialist shall have three key focuses: 1) Direct support of our procurement of goods and services associated with all corporate categories and sub-categories within the business (including but not limited to): IT hardware/software and services; financial services; investment advisory and services; HSEQ compliance and support; professional marketing and communication consultancies; ad hoc professional services; office/external corporate facilities, labour, trades, plant, equipment, vehicles, accommodation, and any other required premises/venues. 2) Provide a significant contribution to the administrative tasks of the department as directed by the Procurement Operations Manager and Head of Procurement and Commercial. 3) Regular interface with our Procure to Pay (P2P) software system to review assigned Purchase Requisitions (PReqs) and raise/convert to Purchase Orders (POs) in a timely manner in accordance with the corporate Procurement Policy. Liaise accordingly with all relevant stakeholders and advisors to ensure Baseline Diligence is upheld before governance approval and final contractual commitment to the supplier. This extends to POs associated with all goods and services relating to our engineering and construction categories of procurement including any associated support to Contract Managers.,
- General support and administrative duties as required by Procurement Specialists and Procurement Operations Manager.
- Take direct responsibility when assigned as Procurement Representative (Procurement Rep) to lead the procurement process for certain goods and/or services.
- Help ensure compliance with the corporate Procurement Policy.
- Learn and administrate (with the intention of becoming a master user) the P2P system to raise POs and satisfy Baseline Diligence.
- Run reports and carry out reconciliation efforts to ensure the smooth operation and accuracy of the full end-to-end commercial purchasing stream i.e. ordering through to goods receipting and final payments.
- Maintain registers/trackers/schedules etc. and be a key support in the procurement operations of the department including direct administrative responsibility or support of our Tender Management System.
- Contribute to the administration of the Contract Management System (CMS) with a primary responsibility to ensure reconciliation with the P2P system to produce accurate contract ledgers for Red Rock's entire business interests.
- Take on direct responsibility as assigned regarding the sourcing and upkeep of our vendors and suppliers.
