Full Job Description

Provide assistance and support to the Executive and Operations management team within IMDS UK / Europe. Support with coordination and allocation of activities and resources in accordance with UKAS & organisation procedures, work scope requirements, budget and plans. This role also works closely with the internal SMT & Key client IMDS teams, logistics and other departments.
Functions
· Take necessary information/messages for departmental SMT.
· Prepare and send UKLT / SMT Departmental correspondence when needed.
· Carry out contract/project administration as required by Manager/Supervisor.
· Support management team with UKAS external/internal audit & coordination.
· Support ensure accurate tracking of personnel and competencies in compliance with UKAS
· Support management teams with UKAS Coordination / Compliance
· Any other duty deemed necessary by Management to support successful operations of the business.
· Support where requested with day-to-day operational requirements of the project in association with the Operations / Project Coordination
· Work closely with the internal project team to ensure effective and efficient implementation of the assigned project.
· Support Oceaneering providing sufficient competent personnel to deliver the service and assign responsibilities to key client project team.
· Coordinate
· Support to project teams with maintaining project control trackers, monitoring project costs and providing updates to the Operations / Project Manager
· Maintain internal communications / meetings and reporting as required, within the Oceaneering IMDS Senior Management Team.
· Ensure relevant documents are complete, current, and appropriately stored.
· Assist with the preparation and review of Monthly/Quarterly Progress / Meeting updates and issue in a timely manner.
· Work closely with IMDS teams and other support function groups to maintain competency records and ensure they are accurate and up to date, provide support in arranging training requests where required.

· Ensure that the Safety policies and procedures are understood and adhered to so far as is reasonably practicable in order to ensure a safe working environment.
Other
· Carry out work in accordance with the Company Health, Safety, Environmental and Quality Systems.
· Perform the assigned tasks with due diligence regarding the Integrated Management Systems on the Company.
· Eliminate waste of whatever form, to suggest the use of more environmentally friendly substances and practices and contribute to the continuous improvement of the environment.
Supervisory Responsibilities
§ This position has NO direct supervisory responsibilities however support and mentoring for administration colleagues is expected where required.

· Hold Industry recognised qualification in UKAS 17020 Awareness / Auditing (Desirable)
· Good Secondary Education / College / University
· IT literate essential
· Experience in personnel staff / tracking and monitoring
Knowledge, Skills, Abilities, and Other Characteristics
§ Relevant experience in Coordination & office administration
§ Project planning tracking and fundamental (desirable)
§ Excellent PC/typing skills.
§ Must be proficient with software packages (e.g. Excel, Word and Visio)
§ Must have excellent office organization skills.
§ Ability to carry out work in a timely and efficient manner to meet deadlines, changing priorities when the situation requires.
§ Carry out work in accordance with Oceaneering Operational procedures.
§ Good communication skills
