Key responsibilities

Prepare and process invoices, ensuring accuracy and timely submission.
Reconciling payment received against invoices, to ensure accounts receivable are up to date.
Maintain accurate records of stock levels and assist in the ordering and procurement of supplies and inventory.
Coordinate the shipping and dispatch of goods, ensuring timely delivery and proper documentation.
Handle incoming calls, emails, and other communications – pertaining to customers placing orders.
Ordering, processing and taking payments for a new product line.
Maintain filing systems, both electronic and physical, ensuring documents are organised and accessible.
General administrative support as needed.
Ensure compliance with company policies and procedures related to invoicing and inventory management.

What we are looking for

An applicant based in Scotland
With the ability to work from our office (3/4 days per week – therefore a driving license would be required)
A can do and self-motivated attitude, you must be able to use your own initiative
A degree is preferable (though not essential with the right experience)
Experience working in agriculture
Strong organisational skills and attention to detail
Proven experience as an administrative assistant or in a similar role, with a focus on invoicing and inventory management.
Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook) and accounting or inventory management software.
Strong communication skills, both written and verbal.
Excellent organisational and time-management skills.
Ability to work independently and as part of a team.
Attention to detail and problem-solving skills are essential.
