Utopian Professional Recruitment are delighted to be working in partnership with a brand-new client located in Glasgow City Centre and support them with the recruitment of a Secretary / PA.

This is an incredible opportunity for a professional and experienced PA, Secretary or Administrator who offers a background supporting and managing a wide range of PA tasks and looking for their next new opportunity within a tech / healthcare company!

The purpose of this role is to provide PA support to 2 key stakeholders within the business in a professional manner whilst offering commitment and integrity.

Your main duties will include:

Being a main point of contact for when the two Directors are not available
Managing outlook calendars, setting up and rescheduling meetings
Book regular travel including flights, transfers, hotels, transportation and preparing itineraries
Handing and responding to incoming communications including managing outlook inboxes
Assist with meeting preparations and attend meetings
Take minutes for meetings when required, gather action points and distribute accordingly
Maintain files, databases and records, ensuring the security and integrity of information
Preparation of reports or presentations involving data analysis
Assist with any adhoc projects, coordinate and track progress to ensure deadlines are met
Any additional tasks which may be required

To be considered for this amazing opportunity, we are looking for the following experience / background:

Previous experience working as a PA, Secretary or Administrator (with PA tasks involved)
Experience of booking national and international travel, managing any last minute changes
Our client is open to the industry as these skills are very transferrable
Excellent communication and interpersonal skills
Solid working knowledge of MS Office including Outlook
Excellent attention to detail
Adapt well to change
Ability to juggle a variety of tasks and think on your feet
Friendly, approachable and loyal

Benefits

Full Time, permanent opportunity working Monday to Friday 8.30-5pm
This will be an office based role in Glasgow City Centre
30 Days Holiday including Bank Holidays, increasing each full year

Salary – up to £38k per annum
