Letting Support Coordinator
Edinburgh / Salary Guide: £22,000 to £24,000
Our Client is looking for a highly organised and customer focused Letting Support Coordinator to join the team. This role is perfect for someone with strong administrative skills, attention to detail, and a passion for helping tenants and landlords through the letting process.

More About the Role; responsibilities.....
Tenant Retention - You should be focused on client retention and negotiating where possible, the ability to keep a tenant in situ for the next academic year. Overcoming objections and using incentives to help facilitate this retention is required, as well as strong negotiation skills.
Booking and Managing Tenant Enquiries - Act as the first point of contact for all tenant enquiries. Efficiently handle phone calls, emails, and in-person queries, ensuring that potential tenants receive accurate information and prompt responses. Coordinate property viewings and ensure that tenants are booked in at times that suit their schedule. This will also require working closely with the Letting Agent responsible for the location.
Marketing and Property Listings - Ensure all properties are accurately listed and up to date across multiple property platforms, including in-house SME system. Regularly review and update property descriptions, photos, and pricing. Monitor and improve the visibility of properties to attract potential tenants, ensuring all marketing materials are aligned with the brand’s standards.
Supporting the Move-In Process - Assist with the onboarding process for successful applicants. Help ensure all relevant documentation, such as tenant application forms, tenancy agreements, inventory forms, and references, are completed accurately and in a timely manner. Coordinate with tenants and landlords to schedule move-in dates, and assist in ensuring a smooth handover of keys and property details.
Administration and Record Keeping - Maintain accurate and up-to-date records of tenant enquiries, property viewings, and move-in details and updating weekly KPI. Ensure that all tenant files and documents are filed correctly and comply with legal and company standards. Assist with general administrative tasks related to the letting process.
Client Relationship Support - Provide excellent customer service and build positive relationships with tenants and landlords. Ensure that all communications are handled professionally and efficiently, with a focus on ensuring the best possible service experience.
Liaise with Internal Teams - Work closely with other departments, including the Lettings team and Property Managers, to ensure that all processes run smoothly. Provide updates and support where needed, ensuring the transition from one stage of the letting process to the next is seamless.
Key Skills & Qualifications - 'About you'..
Strong Communication Skills - Excellent verbal and written communication skills, with the ability to interact effectively with tenants, landlords, and colleagues. A friendly and approachable manner is essential.
Organisational Skills - Highly organised with the ability to manage multiple tasks and priorities in a fast-paced environment. Attention to detail and the ability to maintain accurate records are critical.
Customer Service Focus - A customer-first mindset with a passion for providing exceptional service. Able to handle queries and resolve issues promptly and professionally.
Previous Administration Experience (Preferred) - Previous experience in a customer service or administrative role, particularly in property or lettings, is an advantage but not essential. Training will be provided.
Proficiency in Office Software - Comfortable using computer systems, Microsoft Office applications, and property management software such as Repit, IRE or SME. Ability to quickly learn new software tools.
Team Player - A positive, can-do attitude and a strong team player who enjoys collaborating with others to achieve common goals.
